We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our leadership team. The ideal candidate will excel at managing schedules, coordinating projects, and facilitating communication with key stakeholders. This role is vital in ensuring the executive team operates efficiently and effectively, while also contributing to company-wide initiatives. Are You Looking To

  • Coordinate and drive cross-functional internal projects, ensuring timely execution and alignment with organizational priorities?
  • Organize and facilitate kick-off meetings, follow-ups, and status updates for strategic initiatives led by the CEO?
  • Develop, implement, and track action plans for key business objectives, maintaining accountability for deliverables?
  • Act as a liaison between the CEO and other internal departments to align priorities and streamline workflows?
  • Research and analyze data to prepare concise, insightful reports and recommendations for the CEO and leadership team?
  • Create polished presentations for internal and external stakeholders, highlighting key business strategies and outcomes?
  • Identify opportunities to improve organizational efficiency and take initiative in driving process improvements?
  • Plan and organize leadership and management events, including meetings and offsite workshops?
  • Strategically manage schedules to prioritize key activities and resolve conflicts efficiently?
  • Plan and organize travel arrangements and complete travel cost reporting?
  • Communicate clearly and effectively with employees, board members, investors, and other stakeholders?
  • Oversee social media presence and manage internal company communications via video, email, and newsletters?
  • Assist with employee retention initiatives, events, and special HR projects as needed?

Are You Ready To

  • Take ownership of internal projects from initiation to completion, ensuring milestones are met and risks are mitigated.
  • Collaborate with department leaders to support execution of strategic priorities and ensure seamless communication with the CEO.
  • Monitor and report on project progress, ensuring roadblocks are identified and addressed proactively.
  • Act as a sounding board for new initiatives, providing constructive feedback and alternative solutions.
  • Support the CEO in creating and delivering impactful messaging for company-wide communications and town halls.
  • Prepare agendas, coordinate follow-ups on action items, and support assigned projects.
  • Manage expense approvals, time-off requests, and time entries for payroll.
  • Maintain and organize all board documentation for the company register.
  • Prepare decision proposals and protocols for board meetings.
  • Prepare presentations, agendas, and other materials for meetings.
  • Provide general administrative support and handle other tasks as assigned.

What You’ll Need

  • Bachelor’s degree in relevant field or equivalent years of work experience preferred.
  • Minimum of 2 years of relevant experience in a similar position in business.
  • Valid Driver's License.
  • Strong organizational and multitasking skills with attention to detail.
  • Exceptional verbal and written communication abilities.
  • Ability to work independently and maintain confidentiality.
  • A proactive, entrepreneurial mindset with the ability to identify needs, develop solutions, and take initiative.
  • Exceptional project management skills, with the ability to manage competing priorities and deliver results under tight deadlines.
  • Strong analytical and research capabilities to provide actionable insights.
  • Advanced proficiency in presentation tools such as PowerPoint, along with strong business writing and data visualization skills.
  • Experience in managing or contributing to internal projects or cross-departmental initiatives is highly valued.
