Pay Details: $31-$48/hour

Schedule: Monday-Friday, 8am-5pm

About the Position

The Contracts and Procurement Manager assists in the preparation, review, and administration of contractual proposals relating to service and capital expense projects. This position is responsible for securing all necessary approvals and ensures that standard company procedures are followed. This position requires a high level of organization and impeccable follow-through on time-sensitive documents. Excellent time management and multi-tasking skills are required. Key competencies are communication, initiative, accountability, dependability and attention to detail.

Job Responsibilities

  • Leverage total buy power to negotiate favorable pricing, service terms, and rebate programs.
  • Track, analyze, and report on procurement-related cost savings and rebate revenues to demonstrate ROI.
  • Evaluate and onboard suppliers who support scalable, cost-effective service and product solutions.
  • Manage an approved vendor list and ensure compliance with procurement standards across all properties.
  • Reviewing and administering all contracts for Property Management, taking sufficient steps to minimize project risks.
  • Attend meetings to assess progress on projects which are in motion, and take detailed notes to share with stakeholders.
  • Create and track status reports regarding progress on contracts for each project.
  • Analyze contracts to ensure they comply with state and federal laws and regulations.
  • Liaise between internal departments and external firms/subcontractors to ensure the contracts are accurate and executed in a timely manner.
  • Ensure contracts are in compliance with the companys work health and safety policies, standards and procedures.
  • Ensure portfolio members use the correct contract for each type of work.
  • Prepare, process, distribute, and track contracts, and service contracts using DocuSign.
  • Maintain document filing system in DocuSign.
  • Using PMS software and DevCo documents, prepare drafts, exhibits, and exhibit coversheets for owner contracts.
  • File, distribute, and log owner contracts into ProCore.
  • Coordinate with Portfolio Managers, Facilities Directors, Accounting and Senior Leadership to gather required contract information.
  • Remains up-to-date with each states legislative changes that could affect current and future contracts.
  • Coordinate the purchasing of items for the operations of affordable multifamily housing units.
  • Maintain national accounts with vendors and suppliers and establish new accounts as directed by your manager.
  • Maintain effective departmental purchasing procedures and policies.
  • Responsible for performing departmental accounting functions, including, but not limited, to coding of invoices and monthly reconciliation of accounts in purchasing software using purchasing software.
  • Coordinate and track all shipping and deliveries with project team members.
  • Report on departmental bookkeeping and expenditure reconciliation with accounting department and develop various reports as needed.
  • Attend and participate in daily/weekly meetings to ensure the team is properly updated and working together to successfully deliver quality work on schedule and budget.
  • Participate in weekly or monthly team meetings as needed.
  • Track project documentation, tasks, issues, and other items as needed.

Experience

  • Minimum 3 years of experience as a contract administration or related role, preferably in the construction, multifamily, or facilities industry.
  • Associate or bachelors degree preferred; college may be substituted with work experience in a purchasing role.
  • Experience negotiating large-scale service contracts or portfolio-wide procurement deals.
  • Strong financial analysis skills with ability to evaluate total cost of ownership and ROI.
  • Knowledge of rebate programs, cooperative purchasing, and vendor incentive structures.
  • Good knowledge of contract law.
  • Ability to read, analyze and interpret legal, financial and technical documents.
  • Basic understanding of purchasing and purchase systems.
  • Possesses superior attention to detail in order to spot inconsistencies in contracts
  • Good understanding of standard operating procedures (SOPs) and occupational, safety and environmental regulations and law.
  • Strong time management and problem-solving skills.
  • Background in multifamily construction is desirable but not required.
  • Experience Yardi, RealPage, and other POS systems is desirable but not required.
  • Proficient using MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent written and verbal communication skills.
  • Must be able to speak, read and write English in a manner sufficient to carry out duties.
  • Successful completion of background check and drug screen required.
  • Must be legally qualified to work in the U.S. meeting I-9 guidelines.
