Principle Purpose of Job
The summer Meetings and Special Events Coordinator will be responsible for assisting the Events Services Manager and the Meetings and Special Events Manager in all event-related duties. This role involves planning, coordinating, and executing various meetings, conferences, and special events hosted at our luxurious resort and spa throughout the summer months. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and a passion for delivering outstanding guest experiences.
Essential Duties and Responsibilities:
- Distribute BEOs to all teams at the Ranch and ensure all departments are informed of updates.
- Attend Thursday BEO meetings, update the BEO book, and communicate changes to relevant teams.
- Receive signed contracts for new events from the sales team, create event folders, and pass them along to the Events Manager.
- Create labels, menus, and other event materials as needed.
- Assist the Events Services Manager with last-minute event needs, including setting tables, arranging ceremony chairs, setting up bars, and organizing escort tables.
- Ensure all event-related files, including diagrams, group resumes, and BEOs, are up to date in the shared drive.
- Keep the BEO book and Group Resume book current and accurate.
- Manage and track group activities for the Meetings and Special Events team.
- Support internal meetings and events by coordinating logistics and ensuring smooth execution.
- Assist with shipping and receiving tasks for the Meetings and Special Events department.
- Partial or completed bachelor’s degree in hospitality management, event planning, or related field preferred.
- Proven experience in event planning and coordination, preferably in a hospitality or resort setting.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to build positive relationships with clients, vendors, and team members.
- Proficiency in Microsoft Office Suite and event management software.
- Knowledge of industry trends and best practices in meetings and special events.
- Flexibility to work evenings, weekends, and holidays as needed to accommodate event schedules.
- Demonstrated reliability and dependability in previous work experiences.
- Willingness to adapt to changing priorities and contribute to a positive team atmosphere.

Compensation Description:
$20.00 – 22.00/hr Competitive pay commensurate with education and experience.

Due to the nature of our 24-hour operation, there is no guaranteed work schedule. Managers will try to accommodate specific schedule requests, but they are never guaranteed if business volume prohibits.
