Position Summary:

The Receptionist/Office Coordinator is the face of our agency, responsible for providing exceptional customer service to clients, visitors, and staff. This entry-level position ensures smooth daily office operations by managing administrative tasks, coordinating office resources, and maintaining a welcoming environment aligned with our agency's values of humanity, growth-oriented, innovation, and high-quality service.

Key Responsibilities:

    Front Desk Operations

    • Serve as the first point of contact for visitors, clients, and staff, ensuring a professional and friendly reception experience.
    • Answer and direct incoming phone calls, emails, and inquiries promptly and accurately.
    • Maintain a clean and organized reception area.

    Administrative Support

    • Manage and distribute incoming and outgoing mail and deliveries.
    • Assist in scheduling meetings, appointments, and conference room bookings.
    • Maintain office supplies by tracking inventory and placing orders as needed.
    • Support the team with data entry, filing, and other clerical tasks.

    Coordination & Communication

    • Act as a liaison between office staff, vendors, and clients, ensuring timely communication and follow-up.
    • Assist in onboarding new employees by coordinating office setup and providing orientation materials.
    • Handle general inquiries about agency services, directing complex questions to appropriate team members.

    Agency Alignment

    • Uphold and promote the agency's mission to deliver exceptional care and create a positive impact within the community.
    • Foster a culture of inclusivity and teamwork in all interactions.

Qualifications:

    • High school diploma or equivalent; associate degree preferred.
    • Strong communication and interpersonal skills.
    • Proficient in Microsoft Office Suite and comfortable learning new technologies.
    • Excellent organizational and multitasking abilities.
    • Ability to maintain confidentiality and handle sensitive information with professionalism.

Work Environment:

This is an onsite, full-time position based at our agency's headquarters. The role requires frequent interaction with staff, clients, and external visitors, making adaptability and a positive attitude essential.
