The Sr. Exhibit, Sponsorship and Relationship Manager to lead exhibitor engagement and ensure the successful execution of DIA Americas events, including Specialty Meetings and the Global Annual Meeting. This role is responsible for delivering exceptional customer service to exhibitors, managing sponsorship opportunities from our Media Kit, and supporting key accounts in partnership with our Growth team.
Key responsibilities include:
Specialty Meeting Exhibit Management:
- Develop exhibitor and sponsor engagement strategy focusing on satisfaction, retention, and renewal
- Manage exhibit support for meetings with exhibits including but not limited to oversite of
- Personify set-up and order processing/tracking, hosting fulfillment, floorplan management, exhibitor correspondence, logistical support, and customer service.
- Coordinate and maintain exhibitor design collateral including but not limited to prospectus, exhibitor directories, signage, etc.
- Onsite execution of exhibit programs at Specialty Meetings.
- Monitor ancillary exhibitor events with hotel to include in RFP process.
- Manage exhibit sales vendor and liaise with DIA marketing in the creation of the Exhibitor Prospectus.
- Work with General Service Contractor, internal and external stakeholders, and other suppliers to collect information for exhibitor service manuals.
- Manage exhibit order information in AMS (Association Management System) to ensure proper data entry and generate weekly financial reports for DIA leadership
- Ensure prompt and courteous response to high volume of telephone and email inquiries from exhibitors.
- Create and manage pages of GAM (Global Annual Meeting) microsite that relate to exhibits and event logistics.
- Manage exhibit sales team to ensure exhibit related forms are updated and posted to the website.
- Respond to and liaise with contracted hotels regarding exhibitor event requests to ensure exhibitor status and compliance with DIA content.
- Collaborate with Business Development, Americas Leadership team, and Global Annual Meeting (GAM) Exhibit Sales vendor regarding new exhibit and hosting opportunities for events and establish pricing
- Provide logistical support for implementing new exhibits and hosting opportunities.
- Liaise with DIA marketing and exhibit sales vendor in the creation of the Exhibitor Prospectus.
- Create content for Sitecore content/pages for exhibitor portal for Specialty Meetings.
- Maintain hosted content on the DIA Global App and/or virtual platform including but not limited to promoted posts, lead retrieval, scavenger hunts, etc.
- Provide logistical support for all virtual exhibit collateral/products.
- Manage Webinar portfolio for the Americas Team including scheduling, set-up, hosting, and reporting.
- Manage the Advertising Media Kit products from sale processing and collateral collection.
- Track and maintain exhibitor statistics for meetings including but not limited to new exhibitors, usage of hosted opportunities, mobile app statistics, and exhibitor satisfaction.
- Liaise with 3rd party vendors to provide timely and accurate information. Current vendor services include but are not limited to lead retrieval, ad sales, housing, VIP Guest Invites.
- Assist with budgeting process
- Special projects and other responsibilities as assigned.
- Bachelor’s degree required, or a minimum of 3 years of equivalent experience with exhibit management.
- Strong project management skills with a proven ability to meet deadlines.
- Highly organized, detail-oriented, and proactive in problem-solving.
- Able to manage multiple projects in a fast-paced environment.
- Strong communication skills with internal and external stakeholders.
- CEM certification preferred.
- Experience with InDesign, Adobe Suite, Microsoft Suite (Sitecore & Personify a plus).
- Comfortable working in a global environment with diverse professionals.
- Attendance at the Global Annual Meeting in June required.
- Some overnight travel required.
- Fluent in English; additional languages a plus.
