POSITION: MEDICAL RECEPTIONIST
JOB SUMMARY:
Controls the flow of patients, paperwork, telephone calls and so forth through the department. Projects a pleasant, courteous and professional manner at all times.

GENERAL DUTIES AND RESPONSIBILITIES: (This list may not include all the duties assigned.)
- Receives telephone calls and listens to assess caller's needs. Uses appropriate telephone procedures. Schedules patient appointments, takes messages, transfers caller to appropriate departments. When indicated, it may be necessary to schedule hospital admissions as well as consultations.
- Greets and assists patients of the practice in a courteous professional manner. Recognizing that some patients may be irate, disgruntled, or dissatisfied due to medical or other reasons.
- Schedules patient appointments, according to predetermined appointment format. Adjusts appointment schedule to accommodate physician meetings, vacations, and other schedule interruptions. May be required to reschedule patients as a result of emergencies or other unanticipated physician absences.
- Verifies demographic, financial, and insurance information at each patient visit.
- Prepares and processes paperwork as required for patient-physician encounters.
- Prepares medical records in advance of each patient appointment or as needed for other reasons. Files reports and other documents in the medical record. Make entries in the medical record as directed by the physician. Acknowledges that all medical record information is completely confidential.
- Notifies patient of account balances and co pays. Collects appropriate payments.
- Verifies insurance and obtains authorizations before the patient is seen.
- Responsible for the set up and activation of the Phone Tree system. Should the system fail, will notify patients manually of their appointments.
- Prepares necessary forms for physician ordered laboratory, x-ray or other procedure. Assures the arrival of these forms to the proper location and receives results of completed procedures. Presents results to ordering physician or nurse. Collect and copy lab work and other medical data in preparation for hospital admission. Forwards it to appropriate party for delivery to hospital.
- Responsible for balancing the daily journal along with the patient receipts.
- As directed, instructs patients when necessary in preparation for laboratory, x-ray and other procedures. Assists patient in directing them to the proper location where procedure will be performed. Assures that patient receives correct instructions or information for procedures as ordered by physician.
- Attends to mail for both incoming and outgoing mail of facility. Maintains office in a clean and orderly manner.
- Assist fellow employees when able and needed.
- Notifies Office Administrator of any technical or professional issues.
- May be requested to perform other duties not specified above.
MINIMUM JOB REQUIREMENTS:
Associates degree; at least 1 year of experience that is directly related to the duties and responsibilities specified. 3 years medical office experience can be substituted for degree requirements.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Requires knowledge of basic medical terminology.
- Skill in interpersonal relationships with other office personnel.
- Ability to work easily and in a friendly manner with the general public and occasionally handle a disgruntled patient.
- Ability and willingness to ask for payments.
CONDITIONS OF EMPLOYMENT:
- Successful candidate must submit copies of proof of education and professional references.
- May be required to submit to annual TB and rubella screening.
- Diabetes & Endocrine Associates will provide Hepatitis vaccination; candidate may decline vaccination through declination form or may provide record of vaccination from previous employer.
WORKING CONDITIONS AND PHYSICAL EFFORT:
- Work is normally performed in a typical interior/office work environment.
- Light physical effort. Requires handling of average-weight objects up to 10 pounds or some standing or walking. Effort applies to no more than two (2) hours per day.
