Job Summary
We are seeking a dedicated and enthusiastic Customer Service Representative with experience in a doctor’s office setting to join our dynamic team. The ideal candidate will be responsible for providing exceptional customer support, addressing inquiries, and resolving issues efficiently. This role requires strong communication skills, the ability to handle high call volumes (40-50 calls per day), and a commitment to maintaining professionalism and courtesy in a fast-paced environment.
Duties
Respond to patient inquiries via phone, email, and chat promptly and professionally.
Answer questions regarding appointments, medical services, and office policies with accuracy.
Schedule, reschedule, and confirm patient appointments in accordance with office guidelines.
Assist patients with billing inquiries and insurance-related questions.
Provide accurate information about medical forms, referrals, and follow-up procedures.
Resolve patient complaints effectively while ensuring satisfaction and maintaining patient confidentiality.
Maintain detailed and accurate records of patient interactions and transactions in office systems.
Collaborate with medical office staff, including nurses and physicians, to ensure a seamless patient experience.
Utilize computer systems to track appointments, manage data, and generate reports as needed.
Uphold excellent phone etiquette and professionalism while communicating with patients and staff.
Support multilingual patients by providing assistance in their preferred language when applicable.
Experience
Previous experience as a customer service representative or phone agent in a doctor’s office or medical setting is required.
Proven ability to handle high call volumes (40-50 calls per day) efficiently and professionally.
Proficiency in data entry and experience working with medical office software applications (e.g., scheduling systems, EMRs).
Bilingual or multilingual capabilities are highly desirable to support a diverse patient population.
Strong verbal communication skills with an emphasis on clarity, empathy, and professionalism.
Familiarity with HIPAA regulations and patient confidentiality practices.
Ability to work independently while also collaborating effectively with a team in a medical office environment.
