What are the responsibilities and job description for the Assistant Clinical Director-Speech & Language position at DIAGNOSTIC ASSESSMENT SERVICES Inc?
The Assistant Director is responsible for performing a wide variety of therapy and/or evaluation services and assists in the management functions of the company as directed by the Director of Clinical Services.
CORE JOB DUTIES include:
Strategy and Planning:
- Assists Director of Clinical Services in developing effective clinical operations and ensures staff compliance to those operating standards.
- Assists Director of Clinical Services with proficiently auditing documentation to ensure compliance to company policies and federal/state regulations:
- Assessment Best Practices
- Integrated practices
- Appropriate IEP development and execution
- Appropriate school interactions
- Monitors Lead Clinician by regularly monitoring therapy and/or assessments to ensure quality services are delivered, including Quality Control Checks of reports per company procedure.
- Monitors Lead Clinician with effectively providing therapy and/or assessments in the field.
- Monitors Lead Clinician with effectively providing caseload management.
- Creates staff onboarding/training program and monitors Lead Clinician with effectively collaborating with HR to hire/train new or current staff of changes in operating standards. Evaluates team to determine areas of need/support on an ongoing basis and helps to develop training in respective areas.
- Monitors Lead Clinician with assisting HR in onboarding training for new hires and returning staff.
- Monitors Lead Clinician with assisting HR in closeout procedures.
- Conduct interviews for new hires with Lead Clinician
- Assist in Mid-Year and End-Of-Year reviews.
Acquisition and Development
- Make recommendations for the improvement and growth of DAS clinical practices.
- Remain current with the latest legal updates and company policies by attending all mandatory trainings.
Operational Management
- Attend weekly meetings with the Director of Clinical Services and the Director of Business Operations to discuss any critical issues, and report on the status of the department.
Clinical Expectations:
- Billable hours1 - 50% (i.e., 20 hours)

2 Internal training, weekly leadership meetings, weekly departmental meetings, onboarding, supervision, running and reviewing reports, Quality Control Checks
Onboarding:
- Billable (10 hours) - Team play based evaluation, debriefing of evaluation, cognitive, achievement, report writing
- Admin – Quality Control Check of report, meeting with clinician to review the report, peer consultation (e.g., LSSP and LSSP)
- Training should occur within the first 3 business days of the first day of employment3
Quality Control Guidelines:
- New Employees:
- A Quality Control Check should be conducted for the first 10 reports and first 10 ARDs (ARD prep). A determination is made on whether additional training or support is needed after the first 10.
- All Employees
- A Quality Control Check should be conducted monthly (i.e., spot checks – 1 report chosen at random for each clinician)4
- Quality Control Checks should only take up to 45 minutes per report. If necessary, schedule a feedback meeting to review observations. The clinician is responsible for making the changes and finalizing the report.
Departmental Meetings:
- Minimum expectation: 2 times a month for an hour –Lead clinician will facilitate meeting; Assistant Director attends and provides input as needed
- Provide Lead Clinician with a list of recommended evidence-based practice focal points.
- Monitors Lead Clinician with addressing the following during the meetings:
- Pressing campus issues
- Caseload updates
- Positive feedback on experiences
- Opportunities for service expansion
- Company-wide changes
- Case consultation
- Any additional pertinent information
- Evidence Based Practice (at least 15 minutes)
- Review agenda for each meeting5
Individual Supervision:
- If a clinician requires individual support (i.e., outside of weekly meetings) for more than 2 cases in a week, this should be brought to the attention of the Director of Clinical Services. The Assistant Director and Director of Clinical Services will work together to formulate a plan to support the clinician (i.e., Performance Improvement Plan).
3 Department specific training should occur over a period of two days (up to 14 hours)
4 The feedback from the Quality Control Checks will be considered during the mid-year and end of year evaluations
5 The agenda will serve as documentation that pertinent issues/changes were addressed to the department
- Allow clinicians to make the judgement call and follow up during the weekly meeting for additional support as needed.
Required Reporting:
- Be prepared to report out productivity rates at weekly EHP meetings. This should be uploaded to One Drive by 6 p.m. on Tuesday. Data will be reviewed in EHP meeting.
Data required for Mid-Year and End-of-Year Evaluations:
- Efficiency (amount of time to complete reports)-
- Lead will monitor WIP on a weekly basis and use the company standards for completion time of evaluations
- Monitors Lead Clinician with timeliness and accuracy of Ebillity entries
- Friday & Monday (TBD)
Identify Opportunities for Increasing Revenue:
During department meetings, gather information from clinicians on campus level needs.
- Assistant Director is responsible for following up with campus representative to confirm campus needs.
- Director of Clinical Services and Director of Business Operations will finalize details with the campus representative and provide an addendum to the service agreement.
Resource Planning:
- New hire assignments should be planned/discussed with Director of Clinical Services and Director of Business Operations. This will be finalized by both directors.
- Assignment changes should be planned/discussed within the departmental meeting. Draft of changes should be submitted to Director of Clinical Services for final approval.
