JOB SUMMARY:

Under the supervision of the Diagnostic Outpatient Imaging (DOI) Office Manager, responsible for daily administrative medical office duties pertaining to radiology practice needs and coordinating patient care. Front Desk will contribute to an efficient front office administrative flow within the organization and will assist in contributing to all entities in which our patients and providers are involved. The ideal candidate will be polished in appearance, highly energetic, willing to be busy and multitask and possess a highly mature and professional demeanor. The Front Desk Clerk will be willing to take direction from the Office Manager and Executive Team of the clinic and be eager and excited to learn new things.


ESSENTIAL DUTIES AND RESPONSIBILITIES: to perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. In addition to the requirements listed below, regular attendance in the workplace is an essential function of this position.


Regular attendance at Employer's place of and/or during particular hours, as assigned, is an essential function of this position. Employee must comply with and follow DOI’s attendance policy at all times, unless a reasonable accommodation is requested and granted, as required by law.


Front Desk Essential Functions

  1. Welcomes and greets patients and visitors in person or on the telephone.
  2. Schedules appointments in person or by telephone in a compassionate, ethical, professional, and kind manger.
  3. Provides physicians and physician’s office staff with courteous and prompt service over the phone.
  4. Completes check in/check out functions:
  5. Provides patient(s) with intake/demographic form, history & physical form, consent form as needed, copies of DOI office policies & legal required documents, and scans them into our system.
  6. Ensures accurate patient information is obtained, verified, and updated in system
  7. Maintains patient accounts by obtaining, recording, and updating personal and financial information, collects patient financial responsibility per exam: copays or deductibles and past due balances
  8. Keeps patient appointments on schedule by notifying provider of patient's arrival in system and reviewing exam specific instructions with patients.
  9. Call patients to remind them of upcoming appointments.
  10. Works well under pressure and capable of multi-tasking a diverse set of responsibilities. Inclusive of completing multiple assignments from physicians, office manager, and the handling of daily operations.
  11. Detailed Oriented and eager to see projects through fruition.
  12. Identify and solve critically problems as they arise.
  13. Work through faxed patient forms/orders to schedule in a timely manner
  14. Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  15. Protects patients' rights by maintaining confidentiality of personal and financial information. Practicing HIPPA
  16. Maintains operations by following policies and procedures; reporting needed changes.
  17. Contributes to team effort by accomplishing related results as needed.
  18. Demonstrates Service Excellence and always conveys professionalism.



Requirements

REQUIREMENTS FOR ALL EMPLOYEES:

  1. Interprets, role models, and enables the DOI’s mission, and leadership core values.
  2. Follows all DOI’s policies and procedures, including safety procedures, at all times
  3. All employees are responsible for maintaining a safe workplace environment. This responsibility includes, but is not limited to, reading, and following the DOI’s safety policies, safety programs, emergency preparedness, and general safety procedures. Employees are also responsible for immediately reporting any safety violations of the facility, employees, participants and/or third parties, to their supervisor, DOI Management, and HR representative.
  4. Wearing masks and other designated PPE by DOI during a pandemic is an essential requirement in performing the assigned job duties for this position. Employees must comply with and follow DOI’s safety standards during a pandemic at all times, unless a reasonable accommodation is requested and granted, as required by law.
  5. Communicates with all levels of staff and public as appropriate to the job.
  6. Conducts and attends meetings and training sessions as required.
  7. Responsible for all equipment, supplies, documents, and materials related to job.
  8. Communicates all problems and questions to supervisor.
  9. Complies with all federal, state, and local regulations.
  10. Assures proper storage of all records.
  11. May perform duties of assigned staff as needed; and performs other duties as required by supervisor.

JOB QUALIFICATIONS:

  1. High School diploma or GED. Work Experience may be substituted by Educational background under item number 2 below.
  2. One (1) year front desk and customer service experience.
  3. One (1) year administrative experience in a medical office is preferred.
  4. Excellent verbal and written communication skills required. Excellent interpersonal skills required, with ability to interact at all levels and be able to get along with diverse personalities.
  5. High degree of confidentiality and ethics needed.
  6. Must have analytical ability and be detailed oriented, well-organized and be able to handle multiple priorities.
  7. Must be able to work under pressure with constant interruptions.
  8. Must be able to work independently and autonomously.
  9. Must be able to make sound judgments, have excellent decision-making skills, and possess strong conflict resolution skills.
  10. Must have working knowledge of operation of personal computer and MS Office software.


AUTHORITY:

  • This position is a non-exempt position.
  • This position has no discretionary responsibilities (i.e. reprimands, terminations, or financial discretion)
