Position Summary:
The HR Administrator supports the day-to-day administrative operations of the HR department, ensuring compliance, record-keeping accuracy, and seamless HR processes. This role is responsible for managing HR documentation, tracking policies, coordinating calendars, maintaining employee records, and handling HR-related audits. The HR Administrator will report directly to the HR Director and serve as a key resource for maintaining compliance and supporting HR functions.
Key Responsibilities:
HR Administration & Compliance:
- Calendar Management: Manage the HR calendar, including scheduling compliance deadlines, employee record updates, and internal HR meetings.
- HR Inbox Management: Organize, clean up, and respond to inquiries including but not limited to benefits, PTO, extended time off and other requests in a timely manner.
- Employee Records & File Management:
- Maintain and organize HR file folders, assists with data input and/or updating employees’ files related to onboarding, compliance, documentation and other critical employee records.
- Support the job description project, ensuring all JDs are in the correct format, signed by employees, and stored securely.
- Ensure policy tracking is updated for all current and new employees.
HR Compliance & Reporting:
- Conduct audits for overtime (OT) reports, time sheets, and meal waivers to ensure compliance with labor laws.
- Assist with HR data tracking and compliance reporting, maintaining an HR Data Analytics Dashboard with key HR metrics. Utilize Excel for data analysis, audits, and reporting.
Employee Engagement & HR Support
- Assist with planning and executing HR programs, employee engagement activities, and company events.
- Support employee recognition initiatives, surveys, and HR communications.
- Provide administrative support for performance review cycles and training programs.
Onboarding & Offboarding Support:
- Ensure onboarding documentation is complete, organized, and aligned with company policies.
- Help streamline and document the offboarding process, ensuring all necessary steps are followed consistently.
HR Process Improvement & Documentation:
- Maintain and update Standard Operating Procedures (SOPs) for HR processes such as onboarding, offboarding, and record-keeping.
- Ensure HR documentation is properly categorized and easily accessible for compliance and reporting needs.
Qualifications & Skills:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred but not required).
- Strong calendar management and scheduling abilities.
- Experience with HR data tracking, compliance reporting, and record management.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in HRIS systems (ADP preferred) and Microsoft Office. Profecient in Excel is preferred.
- Exceptional written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Strong relationship management and interpersonal skills.
- Strong problem-solving skills and ability to work both independently and as part of a team.
Salary : $25 - $28
