Director of Office Operations
This position reports to the Chief Operating Officer
Salaried Position M-F 830 AM– 5PM and as needed
Job Responsibilities
The Director of Office Operations provides guidance for day-to-day office operations
Oversees Dispatch team via the Dispatch manager
Receives all mail and sorts / distributes to departments
Ensures office supplies are adequate
Ensure all active client facilities are supported from a Dispatch / Customer Service perspective
Assist with Onboarding New Clients and facilities by maintaining proactive communication and close the checklist before the facility start date
Complete Payroll at the predetermined intervals, needed to meet deadlines and compliance
Ensure timely payment of company bills via Check or CC by direction of CEO / COO
Ensure all needed State, local, Dept Health, Dept of Labor, Federal license are up to date and stored properly
Ensure proper onboarding and preparation for new hires to include background checks, offer letters, computer set up, log in set up, PPE distribution, training, and team announcements
Ensure all Employee folders are complete, up to date, and stored compliantly
Monitor Constant Contact for attendance, compliance, accuracy
Ensure all office staff interact with clients and patients in a professional manner
Responsible to ensure Weekend and after-hours coverage is scheduled from a dispatch team perspective to meet client / patient needs
Ensure recruiting efforts keep up with company needs via Department Hiring Managers
Ensure communication with Vendors and Collaborating companies is accurate / timely
Become super User in Labdaq and Lab Nexxus
Support CEO, COO for any assigned special projects
