Job Scope: We are seeking a highly organized, proactive, and versatile individual to join our team as Administrative Assistant. This multifaceted role blends reception duties, administrative support for the site leader, and event coordination responsibilities. The ideal candidate will be a detail-oriented multitasker who thrives in a fast-paced environment, possesses excellent communication skills, and has a strong ability to coordinate complex tasks while maintaining a positive and professional demeanor.
This role will be the first point of contact for visitors, provide crucial administrative support to the site leader, and ensure the seamless planning and execution of showcase events. They will contribute to a positive experience for both internal team members and external partners.
Key Duties and Responsibilities:
Receptionist Duties:
Act as the first point of contact for all visitors, clients, and vendors, offering a warm and professional greeting.
Answer and direct incoming phone calls, responding to inquiries and taking messages as necessary.
Handle all incoming and outgoing mail, packages, and deliveries, ensuring timely distribution.
Maintain a clean, organized, and welcoming front desk area that reflects Diasorin’s professional image.
Ensure adherence to security protocols, including logging visitors, issuing badges (where applicable), and overseeing building access.
Monitor office entry points, ensuring that only authorized personnel have access to restricted areas.
Administrative Support for Site Leader:
Provide proactive and efficient administrative support to the site leader, managing their calendar, scheduling meetings, and coordinating appointments.
Draft, proofread, and edit correspondence, reports, presentations, and other business documents as needed.
Assist in preparing briefing materials and presentations for meetings with internal teams and external stakeholders.
Coordinate and manage the site leader’s travel arrangements, including booking flights, accommodations, and transportation, ensuring smooth and cost-effective itineraries.
Act as a liaison between the site leader and other departments, facilitating communication and follow-up.
Maintain confidentiality of sensitive information and assist with other ad-hoc administrative tasks as required.
Showcase Coordinator:
Plan, organize, and execute showcase events, from conception to completion, ensuring that all elements are well-coordinated and meet event goals.
Work closely with internal teams and external vendors to manage logistics, including venue selection, catering, audiovisual requirements, and event materials.
Oversee event setup, including the arrangement of materials, displays, and décor, ensuring all items are prepared and in place before the event begins.
Coordinate with marketing, communications, and other departments to ensure event promotion and visibility through appropriate channels.
Manage event invitations, RSVPs, and attendee communication, ensuring that all participants are well-informed and prepared.
Ensure the seamless execution of events by troubleshooting issues as they arise, managing on-site staff, and ensuring the event runs smoothly.
After the event, gather feedback and track event metrics to evaluate success and provide recommendations for future showcases.
Education, Experience, and Qualifications:
Minimum of 3 years of experience in a receptionist, administrative assistant, or event coordination role, ideally within a corporate or office environment.
Excellent organizational, time-management, and multitasking skills.
Strong verbal and written communication skills, with the ability to interact professionally with clients, visitors, and team members at all levels.
Ability to manage competing priorities, handle multiple tasks simultaneously, and meet deadlines.
High level of attention to detail and a commitment to delivering high-quality work.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (copiers, phones, etc.).
Strong interpersonal skills with the ability to build positive relationships with colleagues, clients, and stakeholders.
Knowledge of office management and best practices for coordinating meetings, travel, and office supplies.
