Position Summary:We are seeking a highly organized and proactive Practice Operations Leader to oversee daily operations, engage and manage the team, and ensure the efficiency and growth of our dental practice. This role will serve as the first point of contact for staff, optimize appointment scheduling, manage patient interactions, and ensure seamless coordination between administrative and clinical functions.

Key Responsibilities:Team Leadership & Engagement
- Lead, support, and engage the team to maintain a positive and productive work environment.
- Conduct 1-on-1 meetings with team members alongside Dr. Alesandra DiCicco to provide guidance, feedback, and professional development.
- Set and review team goals in collaboration with Dr. Alesandra DiCicco.
- Act as the first point of contact for staff, addressing concerns and facilitating solutions.
- Lead the morning huddle 30 minutes before the start of each workday to align the team on daily priorities.
- Create measurable goals for each team member and provide monthly reporting to share with Dr. Alesandra DiCicco.
Operations ManagementPatient Communication & Scheduling Optimization
- Handle new patient inquiries,including new patient phone calls, providing reimbursement estimates and collecting reservation deposits.
- Ensure doctor schedules are optimized, prioritizing filling gaps and maximizing productivity.
- Oversee email correspondence, ensuring timely responses and accurate information entry into the EMR system.
- Patient Relations: Ensuring high levels of patient satisfaction by addressing complaints, overseeing patient communication, and maintaining positive relationships.
Financial & Administrative Oversight
- Review incoming mail and categorize accordingly.
- Reconcile insurance checks with the CEO to ensure accuracy and process payments.
- Oversee the delegation of insurance claim processing and mail scanning tasks.
- Manage invoice payments, obtaining directives from the CEO before processing.
- Budgeting and Forecasting: Creating and managing the practice's budget, ensuring expenses are controlled, and maximizing profitability.
- Revenue Cycle Management: Managing accounts receivable, including overseeing patient billing, insurance claim submissions, and follow-ups on unpaid balances.
- Cost Control: Identifying cost-saving opportunities while maintaining high standards of care and service.
Treatment Coordination
- Present, review and close treatment plans with patients.
- Convert treatment plans into scheduled appointments.
- Collect treatment deposits to secure appointments.
Measuring & Enhancing Practice Performance
- Track and analyze key performance metrics, including:
- Unscheduled Treatment Plans
- Procedures Not Attached to Claims Reports
- New Patient Growth (Monthly & Yearly)
- Revenue Reports
Qualifications & Skills:
- Strong leadership and team management skills.
- Excellent communication and problem-solving abilities.
- Experience in dental practice management or healthcare administration preferred.
- Proficiency in EMR systems, scheduling software, and reporting tools.
- Ability to multitask, delegate effectively, and optimize workflow.
- Detail-oriented with strong analytical and organizational skills.
- Ability to manage and optimize standard operating procedures.

Pay: $25.00 - $28.00 per hour
Expected hours: 35 – 40 per week
