Job Summary / Basic Function The role of the Administrative Assistant in the Wellness Center is to provide front desk assistance to users of the Wellness Center as well as provide administrative support to the rest of the staff. This position provides assistance to all services at the Wellness Center, in support of Counseling and Psychiatric Services, Nutrition Services, and Health Services functions of the Wellness Center. Successful candidates will have exceptional skills in customer service, respect for confidential information, knowledge and comfort working with individuals in distress, interpersonal communication, time management, organizational skills, attention to detail, and use of technology.
Essential Functions :
- Handles multiple tasks at the front desk in a fast-paced work environment to include answering phones, greeting patients / clients, communicating effectively with all constituents including students, employees, families and other professionals.
- Triages patients over the phone and in-person according to established protocols to determine appointment urgency.
- Maintains department email accounts and responds to inquiries.
- Performs check-out procedures by accurately entering payment method into electronic health record, completing payment transaction and end of day reconciliation according to established department accounting procedures.
- Perform record management duties; scanning, faxing, printing, retrieving and filing documents. Maintains electronic health records and adhering to state and federal privacy laws, enters relevant information into the record according to established department standards.
- Event coordination by planning all aspects of the event to include logistics and supplies. Follows project management processes from beginning to the completion of the event.
- Review incoming students’ health forms for completion of pre-entrance health requirements, verify and enter data into the Immunization Compliance section of the electronic health record. (seasonally). Process incoming prescriptions and contact students about arrival. (as needed). Submit orders for print services and order supplies. (as needed). Schedule medical transports. (as needed). Reviews external record release requests and completes internal record release requests according to department policy and processes release upon verification of compliance with policy (as needed).

Associate’s Degree – Human Services or Allied Health field
