Job Summary / Basic Function The Print Center Administrative Technician serves as the first point of contact for students, faculty, and staff. This role involves assisting with print orders, answering inquiries and ensuring customer satisfaction. The representative also helps support frontend operations including managing the cash register, processing payments, and helping maintain an organized, efficient and friendly shop environment. Additionally, they will assist with printing, bindery, finishing and large format production as needed. Ideal candidates will possess strong communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced setting.
Essential Functions :
- Job Tracking and Order Management : The position will assist in managing email communications, incorporating all Jotform request forms submitted by customers into the Print Center’s Print Shop Pro job tracking system. This includes reviewing and processing the forms to ensure all necessary details are captured. Once the information is entered, the representative will collaborate with the team to track orders, ensure timely production, and maintain clear communication for accurate order fulfillment. They will assist with limited prepress operations to prepare files for printing before they are sent to the digital presses.
- Customer Service and Inquiries : This role involves responding to customer inquiries via phone, email, and in-person, providing information on products, services, and order statuses. The representative will assist customers with placing new orders, reviewing project details, and addressing any issues that arise. Additionally, they will assist with incoming phone calls and walk-in customers by answering questions, placing orders, and providing additional support during business
- Order Completion, Pickup, and Payment Processing : The representative will contact customers when their orders are ready for pickup, ensuring smooth handoff. They will also close out orders in the system, process payments in-person and over the phone, provide receipts, and ensure all documentation is properly completed.
- Large Format Support : The representative will support large format printing and finishing tasks, including mounting, laminating, and trimming large-scale prints, ensuring all work is completed to customer satisfaction.
- Bindery Support : The representative will help with bindery tasks such as folding, cutting, binding and collating printed materials, ensuring that all finished products meet quality standards and are prepared for delivery.
- Bulk Mailing Support : The representative will assist with bulk mailing projects, ensuring that all mailings are processed, addressed, and prepared for distribution according to customer specifications. May be asked to assist with delivering mailings to the post office (along with another team member). Organize paper stocks and envelopes when time allows.
- Maintain a cooperative, personable, courteous and communicative relationship with fellow workers, supervisors, vendors and the campus community. Keep work area clean and observe all safety procedures.
Preferred Qualifications Vocational or technical certficate / degree – Graphic Design, Print Technology, or Office Administration A valid Driver's Licence is required. Employees (operators) must have been in possession of a valid operator’s license for not less than three (3) years and the license must have been in good standing without interruption during that time period. Yes Successful candidate will also be required to complete ACT 153 Clearance No This position is considered "Emergency Staff." As such they may be required to report to work even when the college is closed or is operating under a delayed start. No Physical Demands The job requires the ability to lift up to 30 pounds and perform physical tasks such as bending, walking, and carrying, while operating machinery in a noisy environment. It also involves using manual dexterity to handle materials and equipment, with occasional climbing, reaching, and repetitive movements to support various tasks in the Print Center.
