What are the responsibilities and job description for the Program Assistant position at Dickinson College?
This position will support the Center for Global Study and Engagement’s (CGSE) campus internationalization, global learning and overall inclusion and equity initiatives and programming in the CGSE across Education Abroad and International and Student and Scholar Services. The duties of this position consist of a variety of administrative support tasks in support of CGSE and Mosaic programming and operations. As part of the CGSE team, the position requires close collaboration with colleagues in the CGSE in Carlisle and the worldwide team, staff, students and faculty on campus and external partners. This person is often the first point of contact for students, parents, staff and other partners on and off campus.
Essential Functions:
- Answer main office telephone line and respond to or refer emails sent to global@dickinson.edu and support day-to-day operations by handling mail, ordering supplies and submitting work orders.
- Provide clerical and administrative support to the CGSE through the scheduling of meetings and events (including catering and room bookings), creating documents, correspondence and mailings and marketing.
- Budget assistance by preparing and submitting documentation for staff/faculty reimbursements, reconciling Pcards for the Associate Provost, Dean and Director of Education Abroad, Director of ISSS and Mosaic’s Director and tracking professional memberships and other expenses.
- Provide database, application and website support through making updates, editing, creating reports and tracking documents as well as support data collection and assessment efforts.
- Support outside college, CGSE-sponsored visits though travel arrangements and meeting set up.
- Support the Associate Provost and Executive Director by managing her schedule, travel and working on special projects.
- Support the work of developing, recruiting and marketing for, planning, budgeting and implementation of short-term, faculty-led programs including Mosaics, Globally Integrated and Summer programs
Preferred QualificationsRequired
Bachelor’s degree and 1-3 years related experience
