POSITION SUMMARY :
- Support the district's HR operations by managing the employee lifecycle, including application processing, hiring, terminations, background checks, identity verification, and payroll-related documentation
- Support administrative functions, employee benefits, risk management, and publications, ensuring compliance with district policies, state regulations, and federal employment laws
- Support leadership programs, workers' compensation, leave management, and provide general HR and administrative support
QUALIFICATIONS :
Education / Certification :
High School Diploma or GEDExperience :
Five years of general clerical / secretarial experience or three years as an educational secretary2 years of HR experience, preferably in a public school or education settingSpecial Knowledge / Skills :
Proficient in typing, word processing, file maintenance, and office records managementKnowledge of employment laws, background check procedures, and HR best practicesExperience with HR software, applicant tracking systems, and payroll processing toolsStrong organizational, communication, and interpersonal skillsAbility to interpret and disseminate information to individuals and groupsProficiency in software for spreadsheets, databases, and word processingKnowledge of basic accounting principlesExperience working with the public in a professional settingAbility to operate a multi-line phone systemAbility to follow written instructions and maintain confidentialityStrong data entry skills with attention to detailAbility to prioritize and multitask in a fast-paced environmentAbility to work independently and as part of a teamMAJOR RESPONSIBILITIES :
Recruitment & Hiring :
Process and review applications for district employmentCoordinate interviews and facilitate hiring proceduresEnsure all new hires complete the required documentation, including I-9 employment eligibility verificationConduct background checks, fingerprinting, and employment verification in compliance with state lawsPrepare and distribute offer lettersEmployee Onboarding & Records Management :
Guide new employees through the onboarding process, ensuring all required forms are completedProcess W-4 tax forms, direct deposit setup, and other payroll-related documentationMaintain accurate and confidential personnel records, ensuring compliance with district policies and legal requirementsSupport new teacher induction and mentorship programs by coordinating communications and logisticsAssist in processing applications and documentation for leadership development pathwaysMaintain databases and generate reports related to teacher effectiveness programsEmployment Compliance & Reporting :
Ensure compliance with federal, state, and local labor laws, including FMLA, EEOC, and I-9 verificationMonitor and update employee background checks as required by district policiesProcess workers' compensation claims and Texas Workforce Commission unemployment claimsMaintain accurate records, including workers' compensation, leave, and sick bank documentationSupport annual audits by maintaining proper documentation and recordsEmployee Offboarding & Terminations :
Process voluntary and involuntary terminations, ensuring proper documentation and exit proceduresConduct final payroll processing, including benefits termination and payout of any accrued leaveProvide guidance to departing employees on COBRA benefits and return of district propertyHR Administration & Support Services :
Assist with employee benefits, risk management, and general HR support functionsParticipate in assessing and managing employee health and safetyRespond to employee inquiries regarding payroll, benefits, and HR policiesAssist with staff training related to HR processes, compliance, and policy updatesSupport HR team with additional administrative tasks and special projectsPublications & Program Support :
Operate high-performance copier for central office, departments, and campusesMonitor digital printing and copying operations for accuracy and efficiencyInspect and examine printed products for quality assuranceAssist in the production and distribution of employee and community publicationsMaintain an inventory of printing supplies and oversee equipment maintenanceGeneral Administrative & Office Support :
Provide direct administrative support to department Directors and Executive DirectorManage calendar, schedule meetings, and coordinate appointmentsPrepare and edit correspondence, reports, and presentationsMaintain organized digital and physical filing systems for program documentationTrack deadlines and ensure timely submission of reports and documentsReceive and direct incoming calls, take reliable messages, and route to appropriate staffGreet and direct visitorsRespond to emergency calls and notify appropriate parties regarding safety and security concernsAssist with the preparation of materials for professional development sessions and training eventsAssist with special events such as job fairs, employee recognition, and other HR-related activitiesPerform other duties as assigned by the Executive Director for Human Resources, the Director of HR, the Deputy / Assistant Superintendents, and / or the Superintendent.EQUIPMENT USED :
