POSITION SUMMARY
- Facilitate the efficient operation of the Educational Services Department
- Provide clerical assistance to the Deputy Superintendent, department directors, and district curriculum specialists
Education/Certification
- High School Diploma or GED
- Have thirty (30) semester hours of college credit with some business orientation or equivalent business school training; or five years of general clerical/secretarial experience; or three years of experience as an Educational Secretary
- Proficient computer skills in the areas of word processing, spreadsheets, databases, visual and media presentations, and webpages
- Effective interpersonal skills in dealing with district personnel, vendors, consultants, and the public
- Highly skilled in working collaboratively with multiple teams; this includes the ability to determine priorities of support for each team so all deadlines are met
- Effective office and time management skills; knowledge of school system operations and routines
- Three to five years of Educational Secretarial experience (preferred)
- Originate, draft, distribute, and file documents
- Assist in preparing district reports, department documents, curriculum and instruction documents/resources, local and state assessments, and reports for state and federal programs. (This includes providing assistance to campus staff when necessary.)
- Maintain yearly calendar and monthly checklists for department administrators and schedule meetings/interviews and appointments for department administrators
- Organize training materials and assist with set-up and take-down for district training sessions at the ESC and throughout the district. (This may occasionally require time before or after regular hours for assistance.)
- Work with campuses to process and verify substitutes used for district curriculum writing and/or content training by curriculum specialists
- Schedule and maintain district professional development using Eduphoria and FS Direct
- Work collaboratively with secretary to the Deputy Superintendent for Educational Services
- Maintain confidentiality
- Perform all other duties as assigned by the Deputy Superintendent for Educational Services
- Assist with departmental events and activities
- Perform all secretarial duties as related to the position
- Promote good public relations
- Prepare and process documents related to budget and purchasing in accordance with district procedures
- Audit annual campus Instructional Materials inventories
- Monitor supply inventory and maintain the accounting system applicable to the department's operation
- Maintain calendar for department training rooms and conference rooms
- Create extra duty agreements that originated in educational services
- Process payroll for Extra Duty Agreements originated in Educational Services
- Computer, printer, copier, telephone, calculator, fax machine, audio/visual equipment, scanner, poster machine, laminating machine
- Eduphoria, Skyward, eFinancePlus, Frontline, Destiny, Test Hound, FS Direct, Microsoft Office, AdobePro, Google Apps for Education
- Tools/Equipment Used: Personal computer and peripherals; standard instructional equipment
- Posture: Prolonged standing; frequent kneeling/squatting, bending/stooping, pushing/pulling, and twisting
- Motion: Frequent walking
- Lifting: Regular light lifting and carrying (less than 15 pounds); heavy lifting (45 pounds) may be required; may lift and move textbooks and classroom equipment
