The didgwlic Wellness Center is looking for a highly organized and friendly Front Desk Clinical Receptionist to join our integrated outpatient care clinic that combines primary care, behavioral health, and opiate treatment. In this role you'll be responsible for providing excellent customer service to our patients and visitors alike. The Front Desk Clinical Receptionist facilitates the efficient operation of the department and acts as an initial point of contact for patients/clients by performing a variety of clerical and administrative tasks. The Front Desk manages the front desk tasks such as scheduling appointments, retrieving medical appointments, entering new client information, and answering phone calls.
This role is for the Wellness Center located in La Conner Washington.

What Youll Do:
- Coordinate and schedule appointments for multiple departments including medical, mental health, client services and SUDP counselors.
- Assist and inform clients regarding the established treatment process, while maintaining confidentiality and ensuring full compliance with all HIPAA regulations.
- Observe urinalysis testing for same gender, record results into files, order urine lab tests and upload into files; urine samples must be uploaded into files once they have been submitted in a timely manner.
- Process new walk ins on a timely basis, request, and verify completed applications and medical information, clarify and explain admissions criteria.
- Schedule appointments for multiple staff; coordinate services with outside agencies for both staff and clients.
- Accurately maintain confidential client charts (creating, scanning and uploading documents, scheduling client appointments, and audit).
- Help coordinate schedules for walk in appointments by collaborating directly with the SUDPs, mental health, and medical departments.
- Utilize Electronic Health Record (EHR) to accurately place information updates, schedule client appointments and timely enter new client information.
- Manage caseloads, as well as calendar for multiple clinicians and programs.
- Maintain inventory, orders, and distribute office supplies and/or equipment for the front desk.
- Effectively communicate with tribal members, clients, and colleagues in a friendly, helpful, and professional manner, including, but not limited to - active listening, patience, and empathy.
- Must have the ability to adapt to different personalities and situations.
- Other duties as assigned by the SUDP Wellness Manager.
Must Haves:
- Knowledge of administrative and clerical procedures and systems such as scanning PDF documents, managing files and records, transcription, designing forms, and other office procedures and terminology.
- Ability to work in a cross-culture environment and understand the social and cultural context of the patients at the didgalic Wellness Center.
- Understand the role of trauma, historical, community, family, and personal experience in wellness and recovery.
- Understand and adhere to state (RCW, WAC) and federal confidentiality regulations (HIPAA and 42 CFR part 2).
- Exceptional organizational. time management and multitasking skills.
- Effective communication; written, verbal, and interpersonal skills, including conflict resolution.
- Proficient with Microsoft Office Suite and other related programs.
- High school diploma or equivalent is required.
- One to three years of experience working in an administrative role in the medical environment (EHR) desired.
- Prolonged periods of sitting at a desk and working on a computer.
- Prolonged period of standing and frequent bending and reaching.
- Must be able to lift up to 30 pounds at times.
- Ability to pass extensive criminal background check and pre-employment drug screening.
