Job Title: Practice Administrator
Location: Digestive and Liver Center of Florida (DLCFL)
Job Summary:
The Digestive and Liver Center of Florida (DLCFL) is seeking an experienced and dedicated Practice Administrator to oversee the management and operations of our growing multi-specialty practice. The Practice Administrator will lead staff recruitment, training, and management across all practice locations and departments while ensuring the highest level of patient satisfaction and operational efficiency.
Principal Responsibilities:
Staffing and Human Resource Management:
- Manage and coordinate staffing for all practice locations and departments, including front desk, call center, medical assistants, procedure schedulers, patient transport, authorization, credentialing, Radiology of Florida, and the colorectal surgery department.
- Oversee recruitment, hiring, onboarding, and ongoing training of staff.
- Administer payroll and conduct exit interviews.
Physician Schedule Management:
- Oversee MD schedule templates to optimize patient scheduling and ensure full physician schedules.
- Track physician time off and CME allowances in alignment with physician contracts.
- Balance patient load among physicians to ensure optimal scheduling and efficiency.
Operations and Oversight:
- Supervise office managers and supervisors to ensure effective staff scheduling, including check-in/check-out processes, time-off approvals, and minimizing overtime.
- Coordinate extended hours staffing, including Saturday clinics.
Financial and Performance Metrics:
- Monitor and improve daily copay and collection metrics (expected vs. actual collections).
- Enhance DLCFL’s standing with MIPS requirements, achieving CMS goals and bonus status.
Training and Patient Satisfaction:
- Conduct in-service training sessions to educate and re-educate staff on practice fundamentals with a focus on improving patient satisfaction and experience.
Reporting and Collaboration:
- Prepare monthly reports on key performance indicators, issues, and staffing/IT needs.
- Foster collegial relationships with physicians and Advanced Practice Providers (APPs).
Qualifications:
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (Master’s preferred).
- Minimum of 5 years of experience in practice administration or healthcare management.
- Strong leadership and organizational skills with the ability to manage multiple priorities.
- Proven experience with physician schedule management, staff supervision, and operational improvement.
- Knowledge of MIPS requirements and CMS metrics is a plus.
- Exceptional communication and interpersonal skills.
- Proficiency with healthcare IT systems and practice management software.
