Job Summary

Diligent Solutions is seeking a Referral Coordinator. This role is responsible for coordinating patient referrals to external specialists and facilities, ensuring the seamless delivery of excellent patient care. This role also provides administrative support to the division, maintaining accurate records and facilitating communication among patients, providers, and external entities.

QUALIFICATIONS :

  • High School Diploma or GED (required)
  • Minimum 1 years in a healthcare or clinical office setting.

PREFERRED QUALIFICATIONS :

  • Additional education or certification in Healthcare Administration.
  • Fluency in Spanish
  • Knowledge of medical terminology
  • RESPONSIBILITIES AND DUTIES :

    Essential Functions :

  • Manage and process patient referrals efficiently and accurately.
  • Assist with patient scheduling, ensuring all required documentation is accurate and up to date.
  • Handle insurance verifications and pre-authorizations for referral services.
  • Maintain proper documentation and record-keeping for all referral-related activities.
  • Communicate with patients to guide them through the referral process and address any concerns.
  • Collaborate with internal departments to resolve delays and troubleshoot issues related to referrals.
  • Primary Duties :

  • Track incoming patient referrals using Excel or other tracking tools, monitoring timeliness and response rates.
  • Process patient referrals promptly, ensuring all necessary steps are completed.
  • Inform patients about the referral process and provide updates on progress or challenges.
  • Verify patient insurance coverage and initiate the pre-authorization process when required.
  • Keep accurate and thorough records of referral activities in the electronic health record (EHR) system, including orders, authorizations, denials, communications, and appointments.
  • Generate reports to track referral metrics and support internal management.
  • Respond to patient questions and concerns about referrals, offering additional information as needed.
  • Collaborate with other departments to address special situations and assist the billing team with insurance-related issues.
  • Knowledge, Skills, and Abilities :

  • Strong understanding of medical terminology, particularly in OB / GYN.
  • Familiarity with insurance processes, including pre-authorizations and eligibility verifications.
  • Excellent communication and interpersonal skills to interact with patients and team members empathetically.
  • Ability to manage multiple referrals simultaneously while maintaining high attention to detail.
  • Proficiency in navigating EHR systems, insurance portals, and Microsoft Office Suite.
  • Problem-solving skills and the ability to work collaboratively with other departments to ensure smooth referral processes.
  • Work Environment :

  • May require occasional travel or overtime.
  • Work is performed in a professional healthcare setting.
  • Potential exposure to communicable diseases, blood-borne pathogens, and toxic substances.
  • Physical Demands :

  • Ability to lift and move medical equipment or supplies up to 25 pounds.
  • Extended periods of standing and walking.
