Position: Office Manager
Reports to: Executive Director of Recruitment, Admissions and Programming
Status: Non Exempt
Salary Range: $25,000-$35,000
An Office Manager supports the smooth operation of a college office by managing administrative tasks, communicating with students and staff, and maintaining records, all while ensuring efficient and professional service.
Core Responsibilities:

Administrative Support:
- Organizing and filing documents, both physical and digital.
- Maintaining and updating records, including student information, financial data, and personnel records.
- Managing correspondence, including emails, phone calls, and mail.
- Scheduling meetings, appointments, and events.
- Preparing reports and presentations.

Communication and Customer Service:
- Answering phones, greeting visitors, and providing information.
- Assisting students and staff with inquiries and requests.
- Facilitating communication between different departments and stakeholders.

Record Keeping and Data Management:
- Maintaining accurate and up-to-date records.
- Entering and managing data in relevant databases.
- Ensuring compliance with data privacy regulations.

Event Coordination:
- Planning and coordinating college events, such as campus tours, programs, workshops, and seminars.
- Managing event logistics, including venue selection, catering, and AV equipment.
Other Duties:- Assisting with budget management.
- Supervising and training work study students and student ambassadors.
- Implementing and maintaining office policies and procedures.
- Working as a team member of the Main Office.
Skills:- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy.
- Ability to handle confidential information with discretion.
Experience / Knowledge
- Experience of working in an office environment.
- Experience of a wide range of administrative functions.

- Ability to work under pressure and to multi-task, cope with demands, deadlines
- and interruptions while maintaining a professional approach.
- Ability to interpret varying situations and solve problems on a day-to-day basis.
- Ability to deal with sensitive and confidential issues with discretion and confidentiality

Qualifications and Training
- Associate’s degree required, Bachelor’s degree preferred and qualified in the secretarial/administrative skills required for the role.
- Years of service can be considered in place of an associate degree.
Other Requirements
- Willingness to be flexible with working hours to respond to the needs of the university.
