This role is crucial in ensuring the seamless management of employee benefits accounts and delivering exceptional client service. The Client Coordinator will work closely with account managers (middle and large group markets), specialists, clients, and carriers to support day-to-day operations, maintain accurate records, and address client needs efficiently.
- Client Support
- Collaborate with Account Managers to manage a portfolio of employee benefits clients.
- Serve as a liaison between clients, carriers, and providers to ensure effective communication and issue resolution.
- Operational Responsibilities
- Maintain client documentation and update EPIC, Brokerage Builder, and related systems.
- Prepare proposals, benefit summaries, and plan comparisons for client meetings.
- Act as subject matter expert on proposals, working with Business Analyst on issues and enhancements.
- Process new implementations, terminations, and plan changes promptly.
- Coordinate and audit enrollment activities, including material collection and submission tracking.
- Renewals & Plan Management
- Assist with the RFP renewal process, including gathering quotes, preparing documentation, and submitting to carriers.
- Support Account Managers in reviewing plan designs, pricing, and compliance.
- Track key deadlines for renewals and open enrollments.
- Prepare employee open enrollment materials, including benefit guides and notices.
- Client Education & Communication
- Communicate benefits plans and processes clearly to clients.
- Assist in organizing client presentations, webinars, and open enrollment sessions.
- Create and distribute educational materials to ensure employees understand their benefits.
- Compliance & Documentation
- Collaborate with Compliance Specialist to ensure adherence to ACA, HIPAA, and ERISA regulations.
- Assist clients with compliance documentation such as 5500 filings and COBRA notices.
- Ensure confidentiality of client and employee information.
