Dimondale is a California 501(c) Public Benefit Organization that operates the Dimondale Adolescent Care Facilities in Southern California, providing residential services to youth that are at risk of or have experienced neglect, abuse, school failure, juvenile delinquency, and mental health disorders or all the above.
Job Summary
The Appointment Coordinator/Receptionist plays a vital role in ensuring the smooth operation of our Mental Health Team and Corporate office by managing client appointments and assisting office staff with clerical duties. This position requires a detail-oriented individual with strong organizational skills and a commitment to providing exceptional service. The ideal candidate will have experience in medical scheduling and administrative tasks, contributing to the overall efficiency of our organization.
Duties
- Greet visitors in a pleasant and professional manner and direct them to the appropriate personnel
- Schedule all psychiatric appointments for the Organization, intakes and follow-ups on a weekly basis.
- Schedule all newly placed residents an initial psychiatry appointment within ten days if they are currently on medication.
- Schedule all newly placed residents an initial psychiatry appointment within thirty days if they are not on medication.
- Ensure that a medication review is completed for each resident every six weeks.
- Assist with administrative tasks, including filing, data entry, and maintaining office organization.
- Support office operations by managing incoming calls and directing patients appropriately
- Support New Hire Onboarding – including but not limited to laptop setup, preparing/ collecting new hire documents on orientation day, etc.
- Order, receive, and maintain office supplies, kitchen supplies, snacks, and beverages
- Ensure front desk area, conference rooms, and breakroom are clean and organized
- Coordinate meeting and conference calls as needed.
- Demonstrate computer literacy for data entry and basic office software tasks
- Review the general status of the office space and report to supervisor any repairs that need to be made or organization that needs to occur.
Education Requirements:
Bachelor's degree in psychology, social work, childcare counseling, education or development from an accredited college or university, preferred.
Experience
- Must be at least 21 years old.
- Previous experience in medical scheduling or administrative roles is required.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills, both verbal and written, for effective interaction.
- Must possess a valid California driver’s license and a driving record acceptable to the Agency’s insurance carrier.
- Must have a criminal record clearance for DOJ, FBI and child abuse index clearance.
- Must be physically and mentally fit to perform all duties.
- Criminal record clearance, child abuse index clearance, and Megan’s Law clearance required.
