Primary Responsibilities:
The Data and Systems Manager supports Catholic Education in the Diocese of Buffalo by providing data-driven insights that guide decision-making and strategic planning. This position identifies, leads the implementation of, and supports the systems in use within our schools and faith formation programs for enrollment management, tuition collection, data driven instruction, and reporting associated with Middle States Accreditation, New York State Education Requirements, and other regulatory bodies.
This position collects, analyzes, and interprets data related to enrollment, academic performance, financial trends, and other key metrics to help leaders improve operational efficiency, student outcomes, and overall effectiveness. The Data and Systems Manager supports the principals, faith formation leaders, enrollment teams, and other Diocesan leaders with the goal of ultimately minimizing manual data entry in our Parishes while ensuring high data integrity and effective, real-time reporting.
Data Collection and Management:
- Work closely with school and faith formation administrators, Diocesan leadership, and other departments to understand data needs and provide customized solutions.
- Design and implement enterprise data systems for collecting, storing, and organizing data across all schools and faith formation programs.
- Ensure data accuracy and integrity through regular audits and quality control processes.
- Manage and maintain databases, including student information systems and regulatory reporting tools.
- Develop and maintain documentation associated with all systems and data management processes.
Data Analysis and Reporting:
- Execute data management and reporting associated with governance, outcomes, quality, analytics, and project management.
- Analyze data related to enrollment trends, academic performance, financial health, operational efficiency, and other factors.
- Prepare detailed reports, dashboards, and visualizations to present key insights to leadership and stakeholders.
- Identify patterns and trends to support strategic planning and decision-making, making recommendations that will positively impact the achievement of our strategic goals.
- Utilize systems to gather information for BEDS and other reporting in a way that eliminates redundant, school-based data entry.
Enrollment and Retention Insights:
- Identify, lead the implementation of, and maintain the enrollment management system, utilizing a CRM and student information systems to manage prospective and current family data.
- Collect, monitor, and analyze enrollment data to measure progress in real time and recommend strategies to help leaders and the Marketing and Communications Manager achieve enrollment targets and support growth initiatives.
- Prepare reports and presentations for leadership, highlighting enrollment trends and achievements.
- Evaluate the effectiveness of marketing and outreach efforts using data analytics.
Academic Performance Indicators and Systems:
- Coordinate the compilation of all records associated with Middle States Accreditation to ensure all schools can fully demonstrate full compliance with requirements.
- Collaborate with school leaders to develop metrics and analyze student achievement data, including STAR data, standardized test scores, graduation rates, and other metrics.
- Lead the implementation of systems to support Multi-Tiered Systems of Support and other data-driven instructional processes.
- Collaborate with faith formation leaders to develop metrics and analyze student achievement and community impact.
- Ensure student records systems are high functioning, accurate, and user friendly.
- Provide actionable insights to enhance academic programs and support student success.
- Identify areas for improvement and track the impact of instructional changes.
Collaboration and Stakeholder Support:
- Administer surveys to collect input from parents, staff, and other stakeholders on a frequent and regular basis.
- Administer surveys to measure the effectiveness and customer satisfaction levels associated with the Diocese of Buffalo’s Catholic Education team.
- Train staff on data systems, tools, and best practices for data collection and reporting.
- Identify opportunities to utilize PDS and other Diocesan systems to simplify data collection and management efforts.
- Serve as a resource for staff in interpreting and applying data insights.
Technology and Tools:
- Utilize data visualization and business intelligence tools (e.g., Tableau, Power BI) to create user-friendly reports and dashboards.
- Maintain and enhance the functionality of existing data systems and recommend improvements.
- Stay current on trends and advancements in data analytics and technology to bring innovative solutions to our Catholic education system.
Compliance and Privacy:
- Contribute to and maintain Diocesan data control standards, including timely implementation of internal or external data or systems audits, and responding to any issues raised by external regulators.
- Ensure compliance with data privacy regulations, including FERPA , New York State, and Diocesan policies.
- Safeguard sensitive information and maintain confidentiality in all data-related processes.

Qualifications:
- Bachelor’s degree in Quantitative or Data Analytics, Statistics, Computer Science, or a related field with a minimum of 2 years of experience in data analysis, preferably in education or in lieu of a degree, a combined minimum of 5 years of advanced education or work experience in data management, preferably in education
- Proficiency in data analysis tools and programming languages (e.g., Excel, SQL, Python, R)
- Experience with data visualization tools (e.g., Tableau, Power BI)
Work Environment:
- This position operates in an office setting with occasional travel to parishes within the Diocese of Buffalo
Reporting Structure: Reports directly to the Superintendent of Schools
- This position does not supervise employees but will collaborate with Catholic University partners to secure and supervise interns to support accounting and finance functions

Pay: $50,000.00 - $60,000.00 per year
