Overview
St. Andrews Catholic School is seeking a positive energetic individual to run a school office as an Administrative Assistant. This role assists the principal in the operation of the front office and will be interacting with students and parents. This roll should emanate our Catholic values throughout our front office.
Job Responsibilities
- Oversees operation of school front office including tidiness and organization.
- Monitors those buzzing the intercom to see if they should be buzzed in or may pose a threat and should not be buzzed in.
- Assists with copying and mail distributions.
- Answers the phone, take messages or transfer calls and check voicemail.
- Monitors students, parents, and volunteers checking in and out on the school check in system and issues vistor passes.
- Maintains attendance records.
- Maintains school office equipment and overall office files.
- Assist principal with the compilation of reports.
- Assists with preparation and maintenance of personnel files and confidential student cumulative files.
- Responsible for student file maintenance including : scanning, filing, sending out to and receiving from other school.
- Enters all student information into the SIS database.
- Orders and maintains inventory of supplies for school office and teachers .
- Manages the MIP database for teacher professional development.
- Assists with development projects as needed.
- Manages the school calendar and coordinates various activities including field trips, and picture day.
- Assists with Key and Fob management and distribution.
- Serves as the Safe Environment Coordinator and manages records.
- Assists with the scheduling of substitute teachers to fill in for absent teachers, whether in-house substitute or outside substitute.
- Receives morning phone calls when the staff / teachers are out sick.
- Works on various projects and other duties for the principal.
- High School Diploma or equivalent.
- Excellent time management and multi-tasking skills.
- Excellent organizational skills.
- Ability to exercise discretion in confidential matters.
- Excellent communication skills.
- Able to work independently and within a team.
- Able to effectively communicate with a diverse population including, parents, students, faculty and staff, and vendors.
- Ability to use word, excel, learn the student information software.
