ADMINISTRATIVE ASSISTANT (part-time)
Job Description:
i3K Group, LLC family of companies operates various businesses which includes Direct Business Connections, Inc. The Executive department of Direct Business Connections, Inc is responsible for the overall management of office services for the company and provide administrative support for the Field Services, Insurance Services and IT departments. Responsible for assisting with the management of client's membership and publication database for all lines of insurance. Responsible for all data entry, tracking, compose/edit documents with a high degree of accuracy and other related clerical duties. Assist with the coordination of all company functions.
- Responsible for scheduling all Field Services inspections including but not limited to obtaining contact information, making contact with insureds, geographically scheduling appointments, waiving applications and creating inspection schedules for Field Representatives.
- Handle travel arrangements and itineraries for all employees' business travel and produce all necessary travel documents.
- Use Google Maps to geographically schedule appointments and plot field schedule for Field Representatives.
- Responsible for processing completed inspections including but not limited to data entry, tracking, analysis and quality control.
- Assist with the management and update client's members, subscribers and publication information on all lines of insurance.
- Assist with sending notification to client's members and subscribers insurance companies to electronically submit annual direct written premiums. Review data and handle data entry of information submitted through on-line platform.
- Assist with the preparation and sending out proxies for client's annual meeting. Record and produce proxy results.
- Assist clients with user name and password issues relating to the company website.
- Assist with the development, implementation and compilation of results for the company's annual customer survey of products and services.
- Responsible for the upkeep of all procedure/guideline manuals for each department. This includes but is not limited to work flow charts, step-by-step procedures, documentation, diagrams. etc.
- Must have valid drivers license to use company vehicle to run errands when necessary.
- Handle tracking and processing of in-coming documents.
- Attend clients visit with President and Vice President when necessary.
- Assist with the administrative functions of personal line survey program including sorting the insured's address by area, plotting the routes, tracking, reviewing for quality control and sending completed surveys to customers.
- Produce various types of reports as directed by Executive Management.
- Provide customer service to all customers including but not limited to fielding telephone inquiries, walk-ins and deliveries.
- Assist with the administrative functions of all i3K Group companies.
- Manage Out of Office calendar specifically for all field services inspections, neighbor island travel and/or other work related appointments.
- Handle product delivery to clients when necessary.
- Any other administrative duties as assigned
Qualifications:
- Bachelors Degree Preferred or equivalent of 10 years office administrative experience
- Associates Degree required
- Minimum 10 years office administrative experience
- Must possess excellent verbal and written communication skills
- Must possess excellent analytical skills
- Proficient in Microsoft Word, Excel, PowerPoint and Outlook
- Proficient using Google Maps
- Must have valid driver's license
- Must have excellent ability to multi task with strong attention to detail and organizational skills
- Excellent verbal and written communication skills including professional telephone etiquette
- Must be able to travel to the neighbor islands when necessary
- Ability to maintain confidentiality of privileged information
Job Information:
