The Opportunity
Direct Digital Holdings is seeking a Receptionist to serve as the primary contact at the office’s point of entry. This individual will play a vital role in creating a positive and welcoming experience for visitors, customers, and employees. This position requires excellent communication skills, attention to detail, and a friendly demeanor with a professional attitude.
This is an on-site position requiring five days in office at the company’s headquarters location in Houston, Texas.
Responsibilities
- Welcome visitors and ensure they are directed to the appropriate department or individual.
- Manage the main phone line, provide excellent customer service, answer general inquiries, and direct them to the appropriate team member.
- Order and distribute team meals.
- Keep the reception area, conference rooms, and kitchen clean, fully stocked, and organized. Monitor inventory of kitchen goods and office supplies, and reorder as needed.
- Serve as main point of contact for building management. Notify building staff of any maintenance needs. Complete training and act as the office’s designated fire marshal.
- Administrative tasks in support of company leadership such as expense reports, calendar management, composition of communication, travel arrangement, and document preparation.
- Office administrative activities including, but not limited to, conference room scheduling, mail coordination, check logging, liaising with vendors and suppliers, maintaining office supplies and equipment, and office communication.
- Assist as needed in organizing corporate events (parties, employee appreciation, on-site meetings, off-site activities, etc.). This includes setting up and breakdown, coordinating with vendors, managing invitations, etc.
- Draft, edit, and proofread memos, correspondence, meeting materials, and presentations.
- Facilitate onboarding/offboarding process alongside People & Culture and IT for new hires or recently separated employees. This includes garage access, building access, office access, and the outgoing/incoming shipment of computer equipment.
- Anticipate potential issues and proactively address matters expeditiously.
- Act as back up support for executive assistant to CEO and President, as needed.
- Ad hoc projects as needed.
Qualifications
- Six months of experience in a professional environment is preferred. Startup experience is a bonus.
- Background in administrative support and/or reception is preferred.
- Exceptional writing skills, capable of crafting clear, concise, and professional emails, reports, and documents. This includes the ability to communicate complex ideas effectively and adapt writing style to suit different audiences and purposes.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including staff, board members, external partners, clients, and donors.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle sensitive and confidential information with the utmost discretion, maintaining privacy and security for all executive communications and documents.
- Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift to an amount of fifteen (15) pounds.
Compensation
Base salary plus annual bonus and benefits.
