Expedition Expectations
- Coordinate all finalization efforts with our internal staff, guests, and network of preferred suppliers to ensure a seamless guest experience for all Travel With Alan Guests, including auditing and organizing client information into spreadsheets (e.g., cruise line manifests, hotel rooming lists, air itineraries, ground transfers, and client preferences/requests)
- Maintain existing preferred partnerships with suppliers while implementing negotiation strategy to achieve departmental goals • Facilitate and maintain preferred supplier relationships and contracts for all Travel With Alan trips, including assisting with confirming add dates and/or custom challenges
- Prospect for new suppliers to meet the needs of a growing business
- Procure all hotel, tour, and onsite inventory to support our business goals
- Deliver quality guest service on all calls and emails, you will ensure preferred suppliers understand and are prepared to serve our guests; partnering with the Group Reservations Team or Management Team to resolve the problem in a courteous/timely manner
- Prepare, edit, and distribute communications (e.g., letters, emails, reports, etc.) to clients, travel providers, and internal staff
- Initiate responses to time-sensitive requests or ensures responsible parties respond within established deadlines
- Support special projects as directed by the Department Manager or Director, Cruise Operations & Technology
Passport to Success
- Would have previous experience in working in group operations, tour finalization, contract negotiation, operations support in the travel field, or project coordination in other industry
- Demonstrates strong commitment to customer experience, and passion for innovation and simplicity
- Is skilled at Microsoft Office Suite, Excel, Outlook, Teams, and Word. If they have Customer Relationship Management (CRM) or Smartsheet experience, even better!
- Possesses the ability to multi-task and respond quickly to a change of plans, bursts of inspiration, or tight deadlines
- Is decisive, creative, adaptable, detail-oriented, adheres to confidentiality guidelines, and can work independently
- Has work history reflecting ability to apply critical thinking and problem-solving skills, with excellent judgment and initiative
- Will thrive on a small, close-knit, in-office work team of people and reside within commuting distance to Direct Travel’s Lynnwood office, as this will be a 100% in-office role
- Has an interest in travel and passion for discovering new experiences for our guests
- Must be able to lawfully work within the US and have unrestricted work authorization for US
