This position is an integral part of DAV’s Personal Philanthropy Programs team; performing key administrative functions necessary to support the Philanthropy Advisors in achieving their short and long term objectives; including providing administrative support for drafting and sending correspondence, scheduling appointments, scheduling travel, conducting donor research, updating donor records, event planning and coordinating, organizing and maintaining paper and electronic files, and responding to donor inquiries. Regularly communicates both verbally and in written form with internal staff, visitors, donors, and other key stakeholders.
Essential Functions:
- Perform administrative and support functions for Personal Philanthropy Programs Philanthropy Advisors at various locations around the country
- Schedule meetings and manage daily calendars for Philanthropy Advisors
- Coordinate and make travel arrangements and complete expense reports for the PPP team
- Perform donor prospect research on major gift & planned giving prospects, utilizing wealth ratings and target analytics model scores
- Maintain tracking of stock gifts and financial advisors, updating constituency types and preparing acknowledgements for stock gifts
- Assist with the administration of our grants management activities (meeting agenda & minutes), support the Grants Management Advisor in research of foundations and reporting needs
- Assist National Director with the preparation and distribution of bi-weekly team meeting agenda & minutes
- Prepare presentations, written correspondence, reports, and other documentation as needed
- Assist with planning and coordinating of regional donor events
- Answer incoming calls and provide general information to callers, take messages or transfer calls to appropriate individuals/departments, and follow up on incoming communications to the PPP team
- Monitor PPP email inbox and distribute messages to the appropriate team members
- Perform data management activities for the Philanthropy Advisor team in various computer systems
- Update Excel spreadsheets and various materials as needed by the Philanthropy Advisor team
- Maintain files and order office supplies for the Philanthropy Advisor team
- Manage inventory of materials including reordering as necessary for the PPP team
- Assist with administration of gift planning fulfillment as needed
- Comply with mandates of management and other duties as assigned
Essential Skills and Experience:
- Polished verbal and written communication skills
- Excellent organizational skills
- Proficient with Microsoft Office Applications, including PowerPoint and Excel
- Detail oriented
- Type 50 or more wpm accurately
- Aptitude for handling numerical data
- A high school diploma, some college preferred with a minimum of three years of administrative experience
