DISC Village, a non-profit community-based agency, has been in operation for over 50 years and is one of the largest and most comprehensive prevention, intervention and treatment agencies in Florida. Through the years, DISC Village has become recognized as a leader in the state for initiating, managing and coordinating substance abuse prevention/intervention, family welfare and delinquency programs in Leon County and North Florida.
DISC Village is seeking a highly organized and detail-oriented Administrative Assistant to handle a variety of administrative and clerical tasks. The ideal candidate will ensure the smooth and efficient day-to-day operations of our office.
Essential Responsibilities:
- Answer phones, directing calls for multiple departments and staff members.
- Handle inquiries for clients and community members, describe services offered and process for program enrollment.
- Assist with correspondence, mailers, inter-office communications, and billing services to various funding sources.
- Describe and manage the information and collection of client co-pays and program fees. Assisting and preparing clients with documentation needed prior to their first appointment.
- Provide general support to clients and visitors in the lobby area.
- Updating program database – counselor caseloads, outpatient logs (client information, services provided, and case closures), and other pertinent information.
- Serve in the capacity of observing same sex urinalysis testing, as needed, and complete all logging paperwork for tests observed. Compile reports as needed for payroll/accounts office. Maintain program wide urinalysis documentation for reporting purposes.
- Responsible for ordering supplies for office staff.
- Contact clients via phone to remind them of appointments.
Requirements:
- A high school diploma or its equivalent,
- Secretarial or office clerical experience required
- Demonstrated proficiency using a computer, including Microsoft Office: Word, Excel and Outlook
