The primary objective of the Retail Administrator is to provide quality administrative support services to the Retail Manager and operation. The Retail Administrator is responsible for financial updates in the Retail Business Model as well as creative assignments for sourcing, buying and customizing products within project deadlines. You may also be responsible for retail sales, special event planning, monthly inventory and visual merchandising.
Responsibilities
  • Data entry across all retail systems (Excel, TEI POS, Management One OTB) and ensure accuracy
  • Oversee all back of house workflows, receiving and organization as it relates to retail inventory
  • Maintain all daily, monthly and annual financial reports
  • Able to analyze and understand retail math, KPIs and metrics to support the Retail Manager in operational decisions
  • Purchase Orders, On-Order Management & Receiving
  • Type all orders on Excel purchase orders
  • Create SKUs and enter all purchase orders into the TEI POS system
  • Receive all purchase orders into inventory
  • Maintain Egnyte organization and follow corporate purchase order SOPs in relation to POS data entry, receiving purchase orders, OTB reconciliation and On Order tracking
  • Monitor and manage the receipt flow of purchase orders through On-Order maintenance and regular status updates
  • Adhere to all policies and procedures regarding initial mark ups, mark downs, and special event purchasing
  • Work closely with Accounting department to develop and maintain proper SOPs in regards to processing invoices, inventory control and AP reconciliation.
  • Execute new vendor account setup, logo instructions, and order tracking.
  • Update all business model components accurately and in a timely manner
  • Update and maintain all vendor contact information
  • Inventory Control
  • Conduct monthly physical inventory and all required month end reconciliations and reporting.
  • Monitor and manage inventory shrink for retail and swag merchandise.
  • Monitor best sellers and core stock items regularly and request fill in orders as needed with proper approval from Regional Retail Buyer.
  • Responsible for receiving retail merchandise in the POS system in adherence to company standards and guidelines pertaining to category and SKU assignment, pricing and descriptions.
  • Work with accounting department to reconcile all receipts and outstanding issues.
  • Merchandising and Customer Service
  • Drive sales through building member relationships and maintaining knowledge of brands in the store and current fashion trends in the region.
  • Assist and service members and their guests with all retail purchases, returns and special orders.
  • Ensure orders are received and merchandised in a timely manner according to on order timelines and any special events or VIPs on property.
  • Ensure visual merchandising standards are upheld.
  • Ensure company packaging standards are upheld and implement special touches like gift-wrap and thank-you notes.
  • Ensure proper procedures are followed for all POS transactions including markdowns and employee discounts.
  • Monitor and drive sales to meet monthly revenue budgets through promotion and customer service, receipt flow management, floor rotations, retail events, etc.
  • Provide support with trunk shows and other promotions to expand the retail offering for members and increase revenues.
Additional Responsibilities
  • Back-office organization-maintain a neat, clean organized work space; keep all documents, hard copies and digital files, organized and properly filed
  • Maintain back stock organization- ensure the merchandise is properly stored to protect against damage, orders clearly organized by store, status, and regularly monitored to ensure product is flowing to the floor as needed
  • Maintain/Update vendor contact list
  • Assist with any other duties as assigned by the Retail Manager
  • Assist with VIP swag and any special requests relating to Retail.
  • Ensure policies for employee purchases are enforced.
  • Maintain adequate levels of all retail supplies: packaging, tagging supplies, etc.
Skill & Qualifications
  • 1-3 years of retail operations and customer service experience
  • Basic knowledge of the retail industry as it relates to hospitality and private club environments.
  • Knowledge of Excel and other Microsoft Office applications required.
  • Basic understanding of retail math and financials required.
  • Collaboration – Regularly works with other departments or projects

  • Ability to work a flexible schedule, including evenings, weekends, and holidays and an ability to work a shift greater than eight (8) hours in length.
