Job Summary
We are seeking a part-time skilled and organized Front Desk Associate to join our small law firm. This position plays a crucial role in creating a welcoming and professional environment for clients and visitors. This position requires exceptional communication skills, organizational abilities, and a commitment to maintaining the highest standards of professionalism. The successful candidate will be the first point of contact for clients and will manage a variety of administrative tasks to support the efficient operation of the firm.
Responsibilities
- Answering and directing phone calls in a professional and courteous manner, including managing and tracking new client intake process.
- Managing incoming and outgoing mail, including sorting, distributing, and organizing documents.
- Provide administrative support to attorneys, including managing schedules, coordinating appointments, and organizing files.
- Communicate effectively with clients, court personnel, and other legal professionals.
- Assist with administrative tasks, including filing, data entry, and document preparation.
- Perform general office duties, such as photocopying and scanning, and maintaining office supplies.
- Maintain client confidentiality and ensure compliance with legal procedures.
Required Qualifications
- High school diploma or equivalent.
- Proven experience in a reception or front desk role.
- Proficiency in Microsoft Office Suite and familiarity with office equipment.
- Strong automation skills to navigate various software programs, including a time management system and document management system.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Associate’s degree or higher in business administration or a related field.
- Familiarity with legal terminology and procedures.
- Experience with case management software.
