What are the responsibilities and job description for the Administrative Support Specialist position at District 19 Community Services Board?
Summary: This position is primarily responsible for providing administrative support which requires understanding of processes, data, and/or operations of the Division and its various programs. This position will be required to travel to various program sites to supply front office coverage or as needed.
Essential Functions:
- Provides coverage for support staff positions when staff is unavailable, on leave, etc.
- Always provides excellent customer service, to include positive communication skills.
- Provides information and assistance to individuals, vendors, staff, or parties seeking services or who need information.
- Collects payments/fees for services from individuals as required by program, processing financial documents as well as agency procurement requests.
- Conducts financial screenings and assessments as required by program.
- Answers phones, greets visitors, manage mail and front desk duties, filing, faxing, etc.
- Assists in organizing, purging record/charts.
- Demonstrates advanced understanding of processes, data, and/or operation of various departments.
- Updates and provides feedback to supervisor regarding critical issues/events.
- Analyzes information to create or maintain associated documents, databases spreadsheets, or in order to organize meetings and events.
- Provides administrative support with minimal supervision.
- Provides guidance/ training to other clerical/administrative staff.
- Updates supervisor of critical issues/events.
- Maintain professionalism at all times.
- Provides administrative support to cover general office duties, which includes filing copying, faxing, recording, data entry, answering phones, verifying insurance coverage, and composing correspondence.
- Completes assigned tasks in an accurate and timely fashion. This can include gathering or filing of information, or completing training as required, with minimal supervision.
- Analyzes and prepares financial and/or procurement documents accurately and timely.
- Helps maintain filing systems, logs, and processing files and logs.
- Maintains confidentiality in accordance with D19 HIPPA policies and procedures.
- Maintains confidential information in a secure manner.
Education and Experience:
- High school degree of general education diploma (GED) required, minimum one (1) year position related experience in public sector administrative support required up to three (3) years preferred; or any equivalent combination of education, training, and experience which provides the required knowledge and abilities.
- Valid VA driver’s license with an acceptable driving record.
Required Knowledge, Skills and Abilities:
The incumbent should possess the following knowledge, skills, and abilities:
- Knowledge of office practices and procedures.
- Knowledge of Medicaid/Medicare procedures,
- Skills in accurate and efficient typing in computer applications.
- Demonstrated proficiency in basic computer programs to include Microsoft Office products.
- Strong organizational skills and ability to prioritize workload.
- Excellent oral and written skills showing proper use of grammar and punctuation.
- Ability to work independently, with supervision and complete assignments.
- Ability to adapt to various staff and duties within various programs.
Position requires sitting at a desk for long periods of time, occasional lifting of approximately 25 lbs., bending/squatting to access records/files. Frequent data entry/typing/keyboarding.
Bilingual (English, Spanish) candidate is preferred.
Position is Grade N1. Minimum Annual salary for this position is $43,261.00
Starting salary for new employees will be based on the prospective employee's knowledge, skills and abilities directly relating to the position's duties. Starting salaries for new employees will not exceed the advertised maximum and will be based on the availability of funding within the current budget.
