Finance Clerk
Purpose Statement
This position provides accounting and clerical support to the Department of Finance. Responsibilities include processing cash receipts and bank deposits, maintaining organized accounting document files, performing data entry and verification, and assisting with purchasing, accounts payable, and other financial processes. The Finance Clerk also manages department office supplies, distributes mail and materials, prepares written documents, and communicates with vendors, district personnel, and the public.
Essential Functions
- Assists with processing documents, forms, mailings, and materials (e.g., attendance enrollments) to ensure timely distribution to appropriate parties.
- Performs clerical duties such as record-keeping, copying, faxing, and scanning to support the department and assigned personnel.
- Prepares written materials, including reports, memos, letters, work orders, purchase orders, invoices, and expense reports, to document financial activities and procedures.
- Processes various financial transactions (e.g., cash receipts, purchase requisitions, invoices, journal entries, budget transfers, cash collections, and deposits) to ensure compliance with local, state, and federal regulations.
- Assists with accounts payable by processing invoices, expense vouchers, and related documents to support check preparation and compliance with district accounting policies.
- Scans and uploads invoices and financial documents into the district’s document management system (Etrieve) to maintain accurate and accessible records for auditing and reference purposes.
- Receives and distributes mail, supplies, and messages to ensure efficient communication and material distribution within the department.
- Handles cash and check receipts, classifies transactions according to accounting codes, prepares receipts, balances daily collections, and ensures accurate deposit of funds into the district’s general account.
- Maintains confidentiality of sensitive financial and personnel information to ensure compliance with district policies and regulations.
- Provides information and referrals to school staff, vendors, and suppliers as needed.
- Supports administrative personnel by assisting with clerical and financial tasks to facilitate efficient operations.

Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally, the job requires 70% sitting, 20% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
