What are the responsibilities and job description for the Service Admin/Writer position at DITCH WITCH MIDWEST?
Purpose:
Work with the Service Manager on day-to-day operations of the service department. Assist with job scheduling, customer communication, and inventory tracking and flow. The Service Writer will provide the highest level of communication to all involved parties including customers, service manager, technicians, and sales teams. Work closely with the Service Manager to ensure all processes in the Service Department are as efficient as possible.
Essential Functions:
- Creates & tracks service work as it moves through the shop.
- Accurately transfer customer service needs to the work order by professionally greeting, listening to, and communicating with the customer.
- Effectively keep the customer informed and updated on their repair status via all technology.
- Liaison with the parts team to follow-up on back orders etc.
- Assist in filing and all other aspects of warranty claims (back-up for current admin) Gather pictures, hours, warranty parts and other details as requested.
- Create and communicate repair quotes as requested.
- Stay current on product information, recalls, service bulletins and warranty guidelines.
- Help with the checking in of returned rental equipment.
Minimum Qualifications:
- Technical College Degree/Certificate preferred.
- Heavy Equipment, 1 year (Required)
- Customer Service, 1 year (Preferred)
- Previous warranty administration experience a plus.
- Willingness and ability to occasionally travel overnight if needed.
- Strong organizational & time management skills, prioritization, and attention to detail.
- Able to work independently, sometimes under strict time constraints.
- Ability to adapt to changing organizational and operational needs.
- Strong team player who is able to work across multiple functions and disciplines.
- Excellent verbal/written communication skills
- Able to lift and carry a minimum of 50 lbs.
- Must be able to pass a drug screen.
- Ability to understand and follow instructions in English.
- Authorized to work in the United States.
