Summary
The Group Coordinator position is a critical team role that provides support to DivcoWest’s Accounting team and Executive Admin support to the Chief Accounting Officer and Senior Controller – Finance & Investor Reporting. In this role, the Coordinator facilitates the reporting needs of existing investors, collaborates with the Capital Strategies & Formation (i.e. fundraising) Team around investor relationships, and fulfills core administrative duties for the CAO and Senior Controller – Finance & Investor Reporting.
This person directly contributes to achieving operational excellence and plays a key role in creating a positive experience for DivcoWest’s investors. This individual will work collaboratively with members across both of the above teams to provide excellent client service and ensure highest quality of all deliverables.
This role requires 3 days in office at our San Francisco location.

Group Coordinator Responsibilities
Investor Communication & Deliverables
Review, track, and respond to inbound investor requests in a timely and professional manner, coordinating with internal teams as needed.
Contact Management
Coordinate with the Capital Strategies and Formation team to manage investor contact information and bank details within Juniper Square, fundraising CRM.
Audit and Tax Support
Review and maintain outstanding audit open items list; prepare audit documents as needed
Provide administrative support for investors’ tax compliance and tax return processes, including post Notices/Documents to Juniper Square.
Coordinate with internal (e.g. legal) and external teams (e.g. tax advisors) to manage timelines and status for various workstreams, including Shareholder Demand Letters and REIT compliance.
Facilitate timely tax payments (and necessary deliveries) associated with tax returns.
Compliance Support
Assist with distribution of various compliance documents (including but not limited to Part II of Form ADV, ERISA reports, side letters, etc.).
Accounts Payable Support (as needed)
Research and track pending invoices across multiple fund entities and understand and implement payment processing requirements.
Perform vendor wire instruction verifications.
Report Processing Support
Create polished Excel, Word and Power Point documents as required, and provide editing and formatting support.
Executive Administration Responsibilities
Schedule meetings with internal and external contacts; proactively communicate schedule changes.
Provide calendar management assistance.
Reviews, routes, answers and monitors follow up action steps on correspondence (email and mail).
Oversee all flight, hotel and restaurant reservations as needed.
Compile receipts and file expense reports.
Plan strategic offsite events, trainings, and team gatherings as needed.
Create meeting agendas, attend meetings, and take minutes.
Obtain signatures and maintain authorized signatory database (in coordination with Legal).
Maintain digital filing system.
Qualifications
4-year undergraduate degree, focus on Accounting preferred (but not required), notary a plus (but not required)
High sense of urgency with excellent follow-through
Highly organized and detail oriented, able to multi-task in a high-volume environment and work across Microsoft Office (Excel, PowerPoint, Word, Outlook and Microsoft Teams)
Technologically savvy with a willingness to learn and master new systems (Juniper Square, Nexus, DocuSign)
Excellent written and verbal communication skills; this role interacts directly with outside parties and must uphold the DivcoWest brand of warmth and professionalism in all interactions
Ability to work efficiently under tight deadlines and effectively prioritize tasks
Proactive, positive, and solution-oriented; egoless team player who is passionate about contributing to a high-performance culture
Critical thinker with an aptitude for improving upon existing processes and increasing overall efficiency
Capability to establish dependable relationships with teammates and cross-functional colleagues
Able to handle last minute changes and anticipate team needs
High level of discretion in dealing with confidential and sensitive issues
The person in this position must be able to:
Remain in a stationary position for 75% of the time working on a computer and attending virtual meetings.
Occasionally move about the office to access file cabinets, office technology, and attend meetings etc.
Compensation
$100,000-$130,000
