Position Overview:
Diversified Drug Testing is looking for a meticulous and organized Administrative Assistant to join our team. The ideal candidate will be responsible for maintaining Clearinghouse, Driver Qualification Files, New Clients and Driver databases, ensuring they are accurate, up-to-date, and easily accessible. The position required a high level of attention to detail, as well as the ability to handle sensitive information with discretion. The Administrative Assistant will work closely with the Programs manager to ensure records are maintained based on the DOT regulations. The Administrative Assistant will be responsible for retrieving records, scanning documents into the Driver files software, assisting with audits, assisting with Clearinghouse Pre-Employment queries, maintaining Clearinghouse Driver accounts and providing support for special projects. The successful candidate will have excellent organization skills, strong computer proficiency, and the ability to work independently.
Job Responsibilities:
· Maintain and update Driver Qualification Files in both physical and digital formats
· Ensure records are filed in an organized and systematic manner.
· Assist with retrieving information for Safety Audits and Compliance Reviews.
· Assist in Clearinghouse Pre-Employment Queries and Driver Accounts
· Ensure the confidentiality and security of sensitive information.
· Assist with special projects as needed
· Maintain Driver Qualification File Management system.
· Conduct audits of driver files to ensure accuracy.
· Maintain databases for Driver Qualifications and Clearinghouse Clients
· Ensure compliance with all relevant laws and regulations
Job Requirements and Qualifications:
· High School Diploma or equivalent
· Strong organizational skills and attention to detail.
· Proficiency with Microsoft Office and record-keeping software
· Excellent communication skills, both written and verbal.
· Strong problem-solving skills
· Ability to prioritize tasks and manage time effectively
· Strong data entry skills
· Ability to work under pressure and meet deadlines
· Strong customer service skills
· Ability to adapt to changing priorities.
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
Expected hours: 40 per week
