Key Responsibilities:
- Operate office machines, including photocopiers, scanners, and computers.
- Answer phones, provide information to callers, take messages, or transfer calls.
- Greet visitors, handle inquiries, and direct them to the appropriate personnel.
- Maintain and update schedules, event calendars, and databases.
- Conduct internet searches to gather information as needed.
- Order and manage office supplies.
- Process customer orders and provide account information.
- Schedule and confirm appointments for clients, customers, and supervisors.
- Communicate with customers and team members to answer questions, address complaints, and provide updates.
- Compile, organize, and file office records and business transactions.
- Open, sort, and manage incoming and outgoing correspondence.
- Troubleshoot office equipment issues and collaborate with IT when necessary.
- Maintain positive relationships with customers and partners, acting as a key point of contact.
- Coordinate work orders, delivery schedules, and production requirements to ensure smooth operations.
Qualifications:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency with Windows-based computers and common office software.
- Ability to manage customer interactions and resolve inquiries effectively.
