Administrative Specialist / Clearance Specialist - Fulltime in Springfield, IL
This position prepares foster care applications for a title IV-E eligibility determination by collecting the required documentation. This is accomplished by utilizing multiple systems including, but not limited to : CYCIS, SACWIS, PACIS, IES, SOLQ, DOL / AWVS, and KIDS.
In addition, Case Managers and Supervisors are contacted to resolve discrepancies. This position requires the ability to multi-task and to adapt to changes daily. This position is very detail oriented and requires the ability to process and retain information. The ability to assess a process or situation and recommend an enhancement or change is a plus.
This position has two functions :
1. Processing New Applications, and
2. Preparing Case Files for Submission to EDU.
Job duties :
- Receive each day’s applications via interoffice mail from the Eligibility Determination Unit.
- Staple each application (usually 3 pages for each application but it could vary).
- Check off each case via the list on the cover sheet, adding any extra cases to the bottom of the list.
- Count how many are foster care, how many are failed adoptions, and how many are failed guardianships.
- Record the count on the “Count of Applications” Create a folder for each application.
- Keep track of cases where the child has benefits.
- Follow up on all cases missing the form via emails to the Case Manager and Supervisor.
- Escalate any issues to the supervisor.
- Assist with all filing duties.
- Other duties as assigned.
