Job Description:
We are seeking a friendly, organized, and professional Front Desk Receptionist to join our team at Diversity MRI. As the first point of contact for patients and visitors, you will play a vital role in creating a welcoming environment while providing efficient administrative support. The ideal candidate will have excellent communication skills, strong attention to detail, and a passion for helping others in a healthcare setting.
Key Responsibilities:
- Patient Reception: Greet patients and visitors warmly, provide them with necessary information, and ensure a positive first impression of the diagnostic center.
- Check-in & Registration: Verify patient information (personal details, insurance, etc.), update records in the electronic health record (EHR) system, and ensure all necessary paperwork is completed accurately.
- Patient Coordination: Assist patients with any inquiries regarding diagnostic procedures, explain necessary instructions (e.g., fasting, preparation for tests), and direct them to the appropriate department or waiting area.
- Phone & Email Management: Answer incoming phone calls, respond to patient inquiries, provide appointment reminders, and handle general inquiries in a courteous and timely manner.
- Medical Records Management: Ensure accurate and up-to-date patient records are maintained, both physical and digital, while adhering to confidentiality and privacy regulations (HIPAA compliance).
- Collaborate with Healthcare Providers: Work closely with physicians, technicians, and other medical staff to ensure smooth patient flow, timely diagnostics, and follow-up appointments.
- Data Entry & Filing: Perform general administrative duties such as entering patient data, organizing patient files, and preparing reports for medical staff.
- Maintain Cleanliness and Organization: Ensure the front desk area is clean, organized, and stocked with necessary materials (forms, brochures, etc.).
- Patient Support: Provide patients with information on diagnostic procedures, including testing options, wait times, and any follow-up actions they may need to take.
Qualifications:
- High school diploma or equivalent (Associate's degree or higher preferred)
- Proven experience as a receptionist, front desk coordinator, or in a customer service role, preferably in a healthcare or medical setting
- Strong communication and interpersonal skills
- Ability to handle multiple tasks in a fast-paced environment while maintaining attention to detail
- Familiarity with medical terminology, office procedures, and electronic health record (EHR) systems (e.g., Epic, Meditech, NextGen) is a plus
- Proficient in MS Office Suite (Word, Excel, Outlook)
- Knowledge of insurance verification and billing procedures is a plus
- Excellent organizational and time management skills
- Ability to maintain confidentiality and adhere to HIPAA regulations
- Bilingual (English/Spanish) is a plus, depending on the patient demographic
Physical Requirements:
- Ability to sit for extended periods of time
- Occasional lifting of files or office supplies (up to 15 pounds)
- Ability to handle a busy front desk environment, manage phone calls, and interact with patients and staff
