Job Summary
Accountant I will pprovide direct accounting support the Division of Biology and the Business Manager of the Accounting Department. The Accountant I will complete accounts payable and accounts receivable transactions, post them in accounting system, assist faculty/staff with accounting inquiries.
Does employee's primary duty consist of work requiring the exercise of independent discretion and judgment? If yes, provide an example:* Incumbent will need to organize tasks accordingly to meet deadlines while following policies and procedures set by yhe university or the division. Incumbent will need to ensure all appropriate and necessary training is completed and that the cardholder is compliant with all rules and regulations. Descretion is required when making purchases on behalf of the division and /or faculty to ensure the best acailavle cost and policy compliance. Must use judgement when considering available budget amounts within numerous accounts.
Duties
Accounts Payable - Create payment documents and process vendor and internal department invoices in eForms. Timely process monthly BPC documents and provide training and support to all BPC holders regarding receipts, expenditures, and monthly concur submission. Review and process travel related expenditures submitted by faculty and students. Manage facilities and telecom payments.
Accounts Receivable, Deposits & Foundation - Create and send invoices for the division services and product sales. process deposits, record CashNet and credit card receipts using departmental accounting system. Process invoices, generate interfund vouchers. Complete reimbursement requests and deposits to/from Foundation accounts using electronic system (FIN)
Record Keeping - Review all documents for accuracy and address discrepancies with Business Manager as needed. Record all documents in accounting system (MIP) and Quickbooksbefore the payments are made to maintain the accuracy of the system. Ensure no accounts are overspent when making payments. Work with the Business Manager to facilitate quick and smoth reconciliation of books at the end of each month.
Other accounting responsibilities - Assist faculty with purchases over 10K and create POs in the Cobblestone system following University guidelines. Answer and direct inquiries to the appropriate contact while using a positive, professional attitude. Provide back-up assistance when other team members are out of the office.
Required Education & Experience:
High School diploma and one year of relevant experience.
Preferred Education and Qualifications:
- Proficiency in accounting software and tools, including Quicken and Excel.
- Strong knowledge of corporate finance principles and practices.
- Experience in financial statement preparation and interpretation.
- Ability to perform detailed account analysis and reconciliation.
- Excellent analytical skills with a keen attention to detail.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- A degree in Accounting, Finance, or a related field is preferred.
- Previous experience in an accounting role is highly desirable.
