Job Summary:
The Field Project Specialist supports field operations, manages project documentation, and facilitates communication between project teams and stakeholders. This role is essential in ensuring projects are completed efficiently, within budget, and on schedule by handling a range of administrative tasks in the field. This role has a direct impact on the execution of projects being completed on time.
What You'll Do:
- Project documentation management including reports, field logs, budgets, and timelines using our Provider Agreement Management (PAM) tool. This also includes: Preparing and monitoring Provider Service Agreements (PSAs), Confirming Statement of Work (SOW), Adding and verifying incumbent information, Determining negotiation target ranges, Collaboration with Contract Admin and National Account Teams, and Strategizing pricing in various markets.
- Data Entry and Reporting: Creating Power Point presentations, Power Bi report creation, Executive packet reports for field.
- Assists with CRM administrative tasks such as Ownership Updates, Add/Remove iPad users, Tracking durations.
- Problem Resolution: Address administrative issues and obstacles on-site, working collaboratively with leaders and field staff to resolve any challenges that arise.
- Spreadsheet creation, helpdesk tickets, inspection audits, contract research, and other admin tasks as needed.
- Manages special projects such as OR RMI licensing, program pilots/testing, auditing of field, etc.
- Responds to inquiries and directs, prioritizes, and provides information to all levels of internal and external customers making requests of the group.
- Assists in new hire onboarding.
- Verifies and collects data from the Field on assigned projects, feedback, requests for proposals, contracts, etc.
- Consolidates various reports and filters information to the team and management as requested.
- Other duties as assigned by management.
- Bachelor's degree in Business Administration, Project Management, or related field (or equivalent work experience).
- Demonstrated superior verbal and written communication skills with experience conveying information to internal and external customers in a clear, focused, and concise manner.
- Proven proficiency in preparing reports, compiling statistics, and researching information.
- Demonstrated experience always maintaining a calm and professional demeanor, exercising excellent judgment, and maintaining a positive perspective in all situations.
- Must possess a strong work ethic and cite examples of experience working in an environment with heavy volumes and multiple demands.
- Must demonstrate a strong attention to detail with excellent organization skills.
- Demonstrated high level of initiative and proven ability to work independently with limited supervision.
- Proficient use of Microsoft Office products with minimal errors.
- Adept at working around conflicts in a proactive and skilled manner and keeping managers aware of updates.
- Elevated level of skill and knowledge in the use of Excel, PowerPoint, SharePoint, and email applications.
- Ability to work extended hours during peak workloads or special projects.
- Ability to manage the stress of a fast-paced environment.
- Ability to meet the in-person requirements of the team and/or business needs.
