What are the responsibilities and job description for the Project Coordinator (Production) position at DK Global?
- Download and convert medical imagery upon instruction from Project Managers.
- Follow up with clients on requested case materials and medical imagery (via phone and email).
- Upload additional imagery into Dropbox that the Client/Expert sends throughout the project.
- Follow the procedure around mailing back case materials and/or medical imagery when requested by clients.
- Liaise with project team members to ensure tasks are completed on time and according to specifications.
- Create and email RFQs and ICA’s for contract work on projects.
- Participate in weekly forecasting meetings.
- Update the forecast daily (when requested by the PMs).
- Attend and participate in daily production huddles (take notes when necessary).
- Add phone call and/or meeting notes into the Comm Log when PM is not able to do so.
- Schedule pre-kickoff, kickoff, and milestone meetings for each project.
- Schedule meetings with clients and/or Visual Consultants when directed by Project Managers.
- Take meeting notes and upload to the project management platform.
- Review projects for milestone meetings and notify the Project Managers.
- Update project stages in the project management platform (Preview, draft, and final).
- Update project budget hours for Change Orders and High Ranges into the project management platform.
- Create purchase requests for project assets.
- Time tracking for POs on projects.
- Add client/stakeholder feedback from meetings and emails to the project management platform.
- Check storyboards and drafts for accuracy and quality against project scope and creative standards.
- Check all spelling, grammar, and render quality on storyboards and drafts.
- Check storyboards and drafts against client’s requested changes and internal changes.
- Follow up with experts for meetings and/or approvals (via phone and email).
- Follow up with clients for approvals and/or deadline changes (via phone and email).
- Assist Project Managers with sending out PBRs when a project is ready to be invoiced.
- Review projects’ close out procedures are being followed on all projects.
- Review and communicate production reports and time-tracking errors to the Senior Project Manager daily.
- Assist the Senior Project Manager in any other tasks as necessary.
- Additional duties and responsibilities as assigned.
- Ability to swiftly respond to a large number of demanding situations and switch gears quickly.
- Ability to prioritize and multi-task in a fast-paced environment with minimal supervision.
- Exceptional verbal and written communication skills to effectively interact with all levels of management, staff, clients, and departments.
- Outstanding interpersonal and organizational skills and attention to detail
- Excellent computer skills including proficiency with Microsoft Office.
- Understanding Waterfall and Agile project management frameworks is a huge plus.
