PLEASE NOTE: This position is part-time, located in downtown San Francisco, with a primarily in-office schedule, and is available to applicants with previous experience in legal management or other closely related professional service environments.
Small, high-quality San Francisco law firm seeks an Office Manager to lead our administrative team and services. The Office Manager is responsible for administering Billing and Accounting, Human Resources, technology services, managing non-attorney support staff, and directing the firm’s outside consultants. The individual in this role must be professional, organized, analytical, a self-starter, have excellent communication skills, and possess an understanding of the firm’s hardware systems and software programs. This position reports directly to the Management Team and is expected to be part-time, with an approximate work schedule of 25 hours per week.
ESSENTIAL JOB RESPONSIBILITIES
Accounting
· Oversees monthly client billing: prebills, edits, final bills, electronic billing, posting
· Runs weekly and monthly billing reports for Management Team
· Reviews accounting reports, monitors general ledger
· Monitors accounts receivables, handles collection efforts as required
· Handles accounts payable function
· Handles cash receipts for operating and IOLTA accounts; works with bookkeeper to stay advised of firm’s cash position
· Creates and oversees event and annual expense budget and ensuring cost-effective practices
· Acts as liaison with firm’s bank
Human Resources
· Supervises non-attorney staff
· Coordinates services of support functions to realize maximum efficiency while meeting the high level of client service expected at the firm
· Recruits, trains, orients and evaluates paralegals and support staff; provides support to Management Team related to attorney recruitment and makes recommendations for staffing
· Reviews and implements health benefits
· Monitors 401(k) enrollment of eligible participants, assuring all profit sharing and firm matches are posted in appropriate timeframes
· Handles payroll, including new hires and changes to existing employees
· Tracks and maintains attendance records for non-attorney personnel
· Creates and maintains personnel handbooks for staff and attorneys
· Manages employee relations, motivates, resolves conflicts, disciplines and handles terminations
· Coordinates social events for firm
· Maintains awareness of changes in HR laws and practices
Facilities
· Works with firm leadership to coordinate office lease, design, maintenance, moves, etc.
· Acts as liaison with building landlord
· Assures all office equipment is functional, and resolves issues
· Maintains records of assets (furniture, records, library)
· Coordinates contracts with vendors
Operations
· Works with broker to obtain professional liability, general office and workers’ comp insurance
· Coordinates and implements the firm’s marketing and business development functions
· Assures adequate support coverage daily to provide quality client service
· Special projects as directed by Management Team
Technology
· Manage and problem solve day to day IT support issues as well as understand and administer various software programs
· Researches and coordinates the implementation of new hardware and software with the firm’s technology support contractor
· Works with Management Team to oversee the firm’s technology needs and plan for future upgrades accordingly
KNOWLEDGE AND SKILLS REQUIRED
· Excellent communication and interpersonal skills with all levels of firm personnel

· Strong leadership skills and team building attitude and ability to take charge and make decisions in a teamwork environment
· Demonstrated ability to effectively supervise others, including hiring, training, assigning work, managing performance, counseling, and disciplining. Ability to lead others in the development of a cohesive, effective work unit
· Demonstrated ability to provide quality client service to both internal and external contacts regarding administrative matters of a complex nature
· Legal billing experience, knowledge of accounting principles and budget management
· Experience with law firm accounting, billing and time Software
· Knowledge of time management strategies (setting priorities, delegating)
· Ability to work in a fast-paced environment
· Advanced software skills and proficiency in Outlook 365 and knowledge of MS Suite
· Strong attention to detail
EXPERIENCE: The position requires a minimum of three years of increasingly responsible and directly related office management experience that includes direct supervision of others, budget administration, and management of office support functions
EDUCATION: Bachelor’s degree, or higher, in business management, human resources or other related field. A minimum of 5 years of law firm experience, preferably in a management or supervisory position. Billing and accounting background required. CLM certification a plus.

Pay: $113,919.00 - $124,818.00 per year
