What are the responsibilities and job description for the Sales Administration Director position at DLP Capital?
The Sales Administration Director is responsible for managing the sales center(s) (FOH and BOH), the sales administration team and supporting the Sales Director, Head of Sales, in leading DOR's (Dream Outdoor Resorts) sales department. In the absence of the Sales Director, Head of Sales, the role takes on delegated authority over the team. Key responsibilities will include transaction coordination, escrow management, CRM, regulatory and legal policies & procedures compliance, and assisting with business growth objectives, integrating with hospitality operations, and helping develop budgets and business plans.
The role ensures that all sales administration and customer service functions comply with Dream Outdoor Resorts standards and regulations. This includes overseeing systems, databases, and on-site sales activities, as well as managing contract documentation, escrow, loan servicing, and reporting for sales transactions, and buyer upgrades and customizations.
What You Have Already Achieved (Requirements)
- Must have a minimum of five years of experience in a real estate brokerage or new home sales management role.
- Previous experience supervising administrative staff in real estate is required, and outdoor hospitality, RV resorts, or timeshare is preferred.
- Bachelor's degree in business administration is a plus.
- Must possess exceptional people leadership skills and be able to interact with all levels of employees and customers.
- Must have excellent written and verbal communication skills.
- Must have excellent organizational and time management skills.
- Strong computer and math skills required. Must be able to track and critically evaluate the performance of processes and employees (individually and combined).
- Reading, writing and oral proficiency in the English language.
- Some travel required.
- Must be highly proficient in Microsoft Office Suite, Google Workspace, and CRM systems. MLS experience is a plus.
What You Are Great At (Responsibilities)
- Assists in the development, implementation and achievement of the annual budget and assists in management of business practices as responsibly as possible to achieve the performance goals.
- Develops team through regular performance reviews, career development planning, recruitment and retention.
- Ensures smooth flow, accuracy and completeness of all documentation necessary to the sales administration department functions, i.e. Front Desk, documents, escrow and loan processing, and closings of all sales in accordance with regulatory requirements and procedures prescribed by the Director of Finance.
- Oversees in the day-to-day management of sales operations, including training of sales personnel, as it pertains to the sales presentation, discovery and lead inventory management processes, sales probability reporting and client/owner profile reporting and database management.
- Monitors and reviews all aspects of the sales process through lead management, tour recaps, sales probability reporting and each sales associate’s database management.
- Assists in the recruitment, training, motivation, and coaching of all employees, including commissioned sales staff, in order to maximize individual performance and productivity.
- Ensures policies, procedures, reporting and system records in place to maintain owner and lead databases.
- Ensures that pricing information and project inventory is being accurately maintained and acts as a liaison with legal counsel for all project registrations. Provides monthly inventory updates
- Assists with leadership and direction of all personnel to ensure Dream Outdoor Resorts and project standards, policies and procedures are in place and adhered to on a consistent basis.
- Develops and maintains working policies and procedure manuals for the Sales and Sales Administration departments.
- Ensures procedures are in place and measured to deliver a guest experience that meets or exceeds guest expectations.
- Acts as signing agent on worksheets and contract documents.
