Position Summary
Provide administrative support to the Associate Analysts, Compliance Analysts, Sr. Compliance Analysts, Supervisors, Managers, and Director in the business license compliance process.
Essential Duties and Responsibilities
- Perform business license data entry into LHQ, Solomon and DMA’s internal software PTCA
- Sort and distribute incoming mail to the appropriate individuals
- Copy and scan renewals, licenses, permits, certificates, and jurisdictional correspondence
- Divide and rename scanned documents to be placed in client folders and upload to LHQ
- Review all renewal batches and checks to ensure accuracy in the Solomon database
- Coordinate with Supervisors/Managers on the release of the checks
- Ensure all applicable renewals and remittances are matched, scanned and mailed in a timely manner
- Ensure all certificates and permits that are received are scanned in and placed in the client folders to upload into LHQ
- Update the LHQ records
- Notify Analysts when account numbers, expiration date, and any other information does not match in LHQ versus the license received
- Follow client requirements for mailing licenses (i.e. physical client locations, a client contact, corporate locations, etc.)
Non-Essential Duties and Responsibilities
- Assist Analysts with special projects, phone calls, faxing, and mailings when needed
- Assist Analysts/Supervisors/Managers with client projects that arise
- Perform other duties as assigned
Education and Qualification Requirements
- High school diploma or equivalent required
- 1-3 years’ office or administrative experience
- Intermediate knowledge of Microsoft Word and Excel
- Familiarity with database entry with high level of attention to detail and accuracy of data entry work
- Strong verbal and written communication skills
- Ability to multi-task and meet required deadlines
- Organization and the ability to excel in a fast-paced environment
- Ability to work overtime as required
- Must be authorized to work in the U.S. without the need for employment-based visa sponsorship now or in the future. This position does not qualify for employment-based sponsorship.
