Position Summary:
The HR and Administrative Assistant plays a vital role in supporting both human resources and general administrative functions across the organization. This position will serve as a liaison with the medical records vendor, manage medical records communications, support compliance and documentation related to HRSA, and assist in maintaining the accuracy of HRIS data in Paylocity. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple tasks in a dynamic healthcare environment.
Key Responsibilities:
- Medical Records Coordination
- Serve as the point of contact with the organization’s medical records company.
- Maintain and monitor the designated medical records email inbox, responding promptly and professionally.

- HRSA and Employment Verification
- Coordinate with HRSA and complete employment verifications and related documentation accurately and in a timely manner.

- Payroll and HRIS Support
- Assist the Controller with basic payroll functions and reconciliation of employment-related data.
- Ensure data accuracy in Paylocity by reviewing and updating job titles, positions, and other personnel records as needed.

- Collaborate with the HR Coordinator to perform a wide range of administrative HR duties, including employee file maintenance, onboarding tasks, and compliance tracking.

- Office Administration
- Receive and distribute incoming mail and packages.
- Perform various administrative tasks to support the daily operations of the office, including filing, scanning, and maintaining supplies.

Qualifications:
- Associate’s degree or equivalent experience in Human Resources, Business Administration, or a related field required; Bachelor’s degree preferred.
- 1–2 years of experience in an administrative or HR support role, preferably in a healthcare or behavioral health setting.
- Familiarity with HRIS systems, especially Paylocity, is strongly preferred.
- Strong organizational, communication, and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
Work Environment & Physical Demands:
- Primarily in-office work with standard office hours.
- Requires regular use of standard office equipment.
- May require occasional lifting of boxes or office supplies (up to 25 lbs).
