We are seeking a highly organized and proactive Executive Assistant to support our Vice President. The ideal candidate will be an efficient multitasker with exceptional communication skills, strong attention to detail, and the ability to handle confidential information with discretion. This role is pivotal in ensuring the VP’s day-to-day operations run smoothly by providing administrative and strategic support.
- Provide high-level administrative support to the Vice President, managing schedules, correspondence, and travel arrangements.
- Act as a gatekeeper, screening calls, emails, and meeting requests while prioritizing urgent matters.
- Prepare reports, presentations, and documents for internal and external meetings.
- Coordinate and schedule meetings, including agenda preparation and follow-up.
- Assist in managing contracts, project documentation, and compliance records.
- Maintain and organize confidential files and business records.
- Communicate with project managers, clients, and vendors on behalf of the VP.
- Handle special projects and tasks as assigned to support business operations.
- Ensure timely execution of administrative tasks to maintain operational efficiency.
Qualifications & Skills:
- Minimum 5 years of experience as an Executive Assistant, preferably in the construction, engineering, or related industry.
- Bachelor’s degree in Business Administration or a related field is preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
- Excellent written and verbal communication skills.
- Ability to handle multiple priorities and work under pressure in a fast-paced environment.
- High level of discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and the ability to anticipate needs.
- Experience coordinating travel arrangements and scheduling high-level meetings.

Pay: $60,000.00 - $75,000.00 per year
