Duties: External candidates, the non-negotiable annual salary for this position is $54,142.66 (NAGE Unit 1, Grade 15, Step 1)
This position is assigned to the Records Department at Bridgewater State Hospital - M.L. Chapter 123 for civil commitments for observation; court orders for competency to stand trial, criminal responsibility, both, and others etc. Also for patients/inmates that are in need of care and treatment. Work closely with our BSH DOC legal office, our Medical Forensic staff and OCCC.
The responsibilities include daily patient admissions - A1, legal, property, Q5, warrants, victim notifications, BSH Mitts, or other folders. Research and prepare all pertinent information related to the recommitment of patients to BSH. Prepare petitions and petition letters, file petitions with the BSH legal department by the expiration date of the current commitment, file and track evaluations, and update IMS and Access accordingly. Prepare list of all discharges scheduled for the following day and distribute list. Prepare all paperwork necessary for the next days’ discharges (Checklist, Orders, Petitions, Evaluations, Property, etc). Contact MA county transportation agencies via email and phone for daily scheduled discharges. Disposition Sheet from weekly inside court: record Brockton district court dispositions into IMS from legal hearings, print and file commitments and any type of DMH commitments that they have been allowed. Record commitment data from BSH / Brockton District Court notes – update Access database, IMS Civil Commit screens, and index card files weekly. Review and generate Evaluation Due list as needed. Communicate and track all extension requests and change of legal status. Will pick up mail daily and distribute accordingly. Run morning reports daily and report count to Milford. Audit mitts from trips for accuracy. Responsible for running statistic reports as requested. This position also works with OCCC Records Office to track all Incarcerated Individuals that transfer in/out of the BSH Unit. Will schedule incarcerated individual trips for court, transfer/release, and/or emergency trips. Follow up with courts for disposition of court hearings collecting documents as necessary. Order supplies, along with filing, answering phones and other various duties as assigned. The ability to work in a team environment, handle multiple tasks accurately, and great attention to detail are essential. Performs all other duties as assigned.

Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*
- Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
